Role Description
This is a full-time hybrid role for an executive assistant to the CEO at Bluencore. The role involves handling clerical tasks, providing executive administrative assistance, and offering customer service support. While the role is based in Mumbai, it offers flexibility for some remote work.
Key Responsibilities:
- Manage the daily, weekly, and monthly agenda of the Director, including scheduling and coordinating meetings and appointments.
- Serve as the primary point of contact for incoming calls, handling them professionally and accurately relaying messages.
- Prepare and distribute correspondence, memos, forms, and other important documentation.
- Provide administrative and clerical support to streamline office operations and enhance workflow efficiency.
- Support the preparation and submission of regular reports, ensuring timely completion.
- Develop, organize, and maintain an efficient filing system for important records.
- Monitor office supply levels and place orders as needed to ensure smooth operations.
- Coordinate travel arrangements, including booking transportation and accommodation for the Director.
- Document and manage expense reports.
Skills and Qualifications:
- Proficiency in secretarial operations, including calendar management, stakeholder management, and office management.
- Strong organizational skills with the ability to maintain a detailed file repository.
- Excellent communication skills with the ability to draft professional emails to various stakeholders.
- Experience in process and file management, ensuring smooth workflow across teams and vendors.
- Competence in using administrative tools and software, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and CRM systems.
- Experience in logistics coordination for events, conferences, and other critical functions.
- Ability to follow up with vendors, team members, and external agencies to ensure timely completion of tasks.
- Mature, smart, and presentable with a professional demeanor.
Additional Responsibilities:
- Coordinate and manage logistics for events and meetings.
- Provide support for the implementation of new tools and systems, such as CRM.
- Ensure timely follow-ups with all stakeholders and maintain checklists for important tasks.
Qualifications:
