About the Role
We're seeking a highly organised and resourceful Virtual Assistant & Operations Coordinator to support a driven entrepreneur managing multiple businesses.
This role blends business administration, team coordination, and personal task management helping streamline both professional and personal operations. You'll act as the entrepreneur's right hand, ensuring everything runs efficiently behind the scenes while maintaining professionalism, creativity, and attention to detail.
You'll also contribute to brand materials and presentations, so Canva and design experience is a must.
Key Responsibilities
Business Support
- Coordinate between teams, suppliers, and clients to ensure clear communication and timely execution of deliverables.
- Manage daily and weekly schedules, organise meetings, and handle reminders and follow-ups.
- Support administrative workflows invoicing, document preparation, research, and reporting.
- Create visually appealing documents, presentations, and marketing materials using Canva.
- Manage task tracking, project timelines, and reporting across multiple ventures.
- Assist with light marketing coordination scheduling posts, formatting content, or updating templates.
Personal & Lifestyle Coordination
- Assist with scheduling appointments, travel arrangements, and reservations.
- Manage personal errands, reminders, and calendar organisation.
- Coordinate with service providers and handle general life admin to help maintain balance and efficiency.
General Operations
- Maintain clear records and documentation of ongoing projects.
- Liaise between multiple businesses to ensure alignment and visibility for the entrepreneur.
- Anticipate needs, spot inefficiencies, and proactively recommend improvements to systems and processes.
Skills & Experience
- 2+ years in a Virtual Assistant, Executive Support, or Operations/Project Coordination role.
- Strong Canva and design skills with an eye for branding, layout, and presentation.
- Excellent organisation and time management able to juggle personal and business priorities.
- Strong written and verbal communication skills.
- Proficiency with Google Workspace, ClickUp, or similar productivity tools.
- Comfortable managing multiple streams of work in a fast-paced, entrepreneurial environment.
- Reliable, trustworthy, and discreet with sensitive information.
- Experience in digital marketing, content coordination, or social media management.
- Familiarity with automation tools or CRMs (e.g. GoHighLevel, HubSpot, ClickUp).
- Experience supporting founders, business owners, or creative professionals.
