Role Overview

The Executive Assistant will function as a high-impact strategic and operational partner to the Senior Partners, ensuring effective time management, seamless execution of priorities, and strong coordination across teams.

This role goes beyond traditional administrative responsibilities and requires an individual who can anticipate needs, drive execution, manage stakeholders, and act as an extension of leadership. The ideal candidate will bring a combination of organizational excellence, business understanding, and proactive problem-solving.

Key Responsibilities

1. Strategic Coordination & Execution Support

  • Track, monitor, and drive execution of high-priority matters including cases, client deliverables, and internal initiatives
  • Ensure strict adherence to timelines by coordinating with associates, teams, and cross-functional stakeholders
  • Maintain structured trackers and dashboards for ongoing matters, deadlines, and action items
  • Proactively identify delays, risks, and dependencies, and escalate where required
  • Assist in aligning team priorities with leadership objectives

2. Executive & Calendar Management

  • Manage complex and dynamic calendars, ensuring optimal utilization of the Senior Partner's time
  • Prioritize meetings and engagements based on urgency, business impact, and strategic importance
  • Coordinate internal and external meetings, including agenda setting, scheduling, and follow-ups
  • Ensure readiness for meetings through background briefs, documents, and key discussion points
  • Manage travel schedules, itineraries, and logistics where required

3. Communication & Stakeholder Management

  • Act as a central communication bridge between the Senior Partner, internal teams, clients, and external stakeholders
  • Draft and review high-quality emails, notes, reports, and official communications
  • Ensure clarity, consistency, and timeliness in communication across all channels
  • Handle sensitive and confidential information with utmost discretion and professionalism
  • Build strong working relationships with key stakeholders to ensure smooth coordination

4. Reporting, MIS & Business Insights

  • Prepare detailed MIS reports, dashboards, and presentations for leadership review
  • Track key performance metrics across teams and provide insights for decision-making
  • Assist in preparing business summaries, case updates, and client reports
  • Support data-driven decision-making by analyzing trends, productivity, and operational efficiency
  • Maintain structured documentation and records for easy reference

5. Process Optimization & Operational Excellence

  • Identify inefficiencies in workflows and implement process improvements
  • Streamline internal coordination mechanisms to enhance productivity and reduce turnaround time
  • Support in implementing systems/tools for better tracking and reporting
  • Assist in standardizing processes across teams to ensure consistency and quality
  • Drive a culture of accountability, responsiveness, and execution excellence

6. Project & Initiative Management

  • Assist in execution of strategic projects such as firm expansion, hiring drives, branding initiatives, and partnerships
  • Coordinate cross-functional teams for project delivery within timelines
  • Conduct research and compile insights to support business decisions
  • Support in planning and execution of internal and external events, meetings, and initiatives

7. HR & Team Coordination Support

  • Assist in tracking team attendance, leaves, and performance-related updates
  • Coordinate with HR for onboarding, team engagement, and administrative support
  • Support leadership in monitoring team productivity and performance
  • Facilitate internal communication and team alignment initiatives

  • Preferable from hospitality, aviation or any such sector or role involving public interaction, customer service, client engagement, public relations, and community relations
