Corporate Event Production & Operations Manager
1. Event Production Planning & Execution
- Lead end-to-end production planning for corporate events, conferences, exhibitions, launches, and experiential activations.
- Translate creative concepts into executable production plans with accurate timelines and deliverables.
- Prepare detailed production schedules, run-of-show (ROS), and technical execution plans.
- Ensure flawless on-ground execution aligned with client expectations and brand standards.
2. Operations & Logistics Management
- Manage event logistics including venue coordination, permissions, site inspections, vendor movements, and manpower deployment.
- Oversee setup, rehearsals, live event operations, and dismantling within defined timelines.
- Anticipate operational risks and implement contingency plans.
- Ensure compliance with safety, legal, and venue regulations.
3. Vendor & Partner Management
- Identify, negotiate, onboard, and manage vendors (fabrication, AV, lighting, sound, staging, dcor, logistics, etc.).
- Finalize vendor scopes, timelines, and commercials.
- Monitor vendor performance, quality, and adherence to SLAs.
- Control vendor costs while maintaining quality benchmarks.
4. Budgeting & Cost Control
- Prepare detailed event production budgets and cost estimates.
- Track actuals vs. planned budgets and ensure cost efficiency.
- Negotiate best commercial terms with vendors and suppliers.
- Ensure accurate billing, PO management, and vendor payment coordination.
5. Team & Resource Management
- Lead and coordinate production executives, site managers, and freelancers.
- Allocate roles and responsibilities clearly across teams.
- Conduct daily task reviews, site briefings, and post-event debriefs.
- Mentor junior team members and improve operational efficiency.
6. Client Coordination & Stakeholder Management
- Act as the primary production SPOC for clients and internal teams.
- Participate in client meetings, recce visits, and technical discussions.
- Communicate timelines, dependencies, and production feasibility clearly.
- Manage client expectations and ensure timely issue resolution.
7. Quality Control & Risk Management
- Ensure high production quality across all event elements.
- Conduct pre-event checks and technical rehearsals.
- Identify risks related to timelines, vendors, weather, safety, or permissions.
- Implement corrective actions swiftly during live events.
8. Process, Documentation & Reporting
- Maintain production checklists, MOMs, vendor agreements, and operational SOPs.
- Ensure proper documentation for events including drawings, layouts, and approvals.
- Prepare post-event reports covering execution, challenges, and learnings.
- Continuously improve operational processes and workflows.
9. Cross-Functional Coordination
- Work closely with Creative, Client Servicing, Finance, and Business Development teams.
- Provide production inputs during proposal and pitch stages.
- Support feasibility analysis and costing during pre-sales.
10. Continuous Improvement & Innovation
- Stay updated with new event technologies, materials, and production trends.
- Suggest innovative production solutions to enhance event experience.
- Improve turnaround times, vendor efficiency, and cost optimization methods.
