Reporting to:Event Manager

Role Summary

The Event Executive is responsible forplanning and executing at least one event every weekat assigned PlayAll locations. This is ahands-on rolethat owns the event end-to-end from lead calling and participant conversion to flawless on-ground execution and post-event closure.Key Responsibilities

1. Event Planning & Sales

Plan and finalizeminimum 1 event per weekas per event calendar.

  • Call leads, follow up, andconvert participantsfor events.
  • Coordinate with venue managers for slot blocking and readiness.
  • Ensure minimum participation targets are met before event confirmation.

2. Event Execution (On-Ground Ownership)

  • Manage all on-ground arrangements on event day.
  • Coordinate referees, coaches, umpires, and support staff.
  • Manage vendors (equipment, water, medals, banners, refreshments, etc.).
  • Ensure smooth registrations, match flow, and time discipline.

3. Customer Experience

  • Be the single point of contact for players during the event.
  • Handle queries, complaints, and last-minute issues calmly.
  • Ensure ahigh-quality, enjoyable experiencefor all participants.

4. Vendor & Resource Coordination

  • Coordinate with internal and external vendors.
  • Ensure availability of referees, equipment, and consumables.
  • Control costs and avoid last-minute escalations.

5. Post-Event Closure

  • Coordinate with Accounts forcollection and settlement of all payments.
  • Ensure referee, vendor, and prize payments are closed on time.
  • Share post-event report: participation, revenue, issues, learnings.

Key Performance Indicators (KPIs)

  • Number of events executed per month.
  • Participant conversion rate from leads.
  • Event revenue vs planned target.
  • Customer feedback and repeat participation.
  • Zero payment or vendor closure delays.

Skills & Requirements

  • 13 years of experience in events, sports operations, or field sales.
  • Strong calling, follow-up, and conversion skills.
  • Comfortable with weekend work and on-ground execution.
  • High ownership, problem-solving mindset.
  • Good communication in Hindi & English.
  • Willingness to travel locally across venues.
