Key Responsibilities
Client Visits & Event Management
- Manage client visits and internal corporate events
- Coordinate end-to-end execution of meetings and events
- Ensure smooth on-site experience for guests and stakeholders
- Track all onsite events and related expenses
Meeting Room & Technical Coordination
- Handle all meeting projector and audiovisual (AV) requests
- Determine AV requirements using appropriate probing questions
- Coordinate with service providers for AV setup and execution
- Ensure timely fulfillment of all technical requirements for meetings
Venue & Logistics Planning
- Select appropriate venues based on capacity, service, AV needs, and budget
- Provide detailed logistical requirements to venues for cost estimation and proposals
- Negotiate with vendors to ensure services remain within budget
- Coordinate additional services including decorations, signage, entertainment, transportation, and accommodations
Catering & Vendor Coordination
- Assist in selecting food and beverage options for off-site events
- Support requesters through suggestive catering recommendations
- Coordinate with vendors for seamless food service execution
- Ensure all vendor services align with event requirements
Communication & Stakeholder Management
- Communicate and confirm event details with hosts and service providers
- Act as a liaison between clients, internal teams, and vendors
- Ensure clear and timely updates across all stakeholders
- Manage expectations and ensure service alignment
Event Execution & Reporting
- Oversee on-site event execution to ensure guest satisfaction
- Ensure adherence to planned schedules and service quality standards
- Track event budgets, expenses, and cost estimations
- Prepare and submit monthly event and operations reports
