Role Overview
We are seeking a highly organized, proactive, and dynamic Executive Assistant (EA) to the Head of Operations The EA will act as a strategic partner, ensuring the Head Operations day-to-day work run smoothly and efficiently. This role requires exceptional multitasking ability, foresight, and a high level of professionalism. The ideal candidate will thrive in a fast-paced, evolving environment and will play a key role in supporting decision-making, project execution, and cross-functional coordination.
Key Responsibilities:
1. Executive Support & Calendar Management
- Manage and optimize the Head of Operations daily schedule, appointments, and travel plans
- Prioritize tasks and meetings to align with business objectives
- Ensure timely reminders, briefing notes, and preparation for all engagements
2. Communication & Coordination
- Act as a trusted point of contact between the Head of Operations and internal/external stakeholders
- Draft, review, and manage emails, presentations, and documents with accuracy and confidentiality
- Facilitate seamless communication and coordination between teams
3. Project & Task Management
- Track key projects, deadlines, and action items on behalf of the Founder
- Follow up with teams to ensure progress and timely completion of deliverables
- Support planning and execution of strategic initiatives
4. Meeting Support
- Prepare agendas, minutes, summaries, and follow-up action plans
- Ensure all necessary documents, research insights, and data are ready before meetings
- Coordinate logistics for internal and external meetings
5. Operational Efficiency
- Support the Head of Operations in day-to-day administrative and operational tasks
- Maintain documentation, records, and confidential files
- Assist with vendor coordination, purchase approvals, and workflow optimization
6. Research & Insights
- Conduct quick research to support decision-making across operations, business, and partnerships
- Prepare concise reports, briefs, and industry updates
Qualifications & Skills
- Bachelor's degree in Business Administration, Management, or related field
- 2–5 years of experience as an EA, Chief of Staff, or in a similar role
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- High attention to detail and follow-through
- Proactive, solution-oriented, and capable of anticipating needs
- Ability to handle confidential information with professionalism
- Proficiency in Google Workspace, MS Office, scheduling tools, and task/project trackers
- Experience in a startup or dynamic environment preferred
- Interest in wellness, healthcare, or consumer brands is a plus
