- Calendar Management:Managing the CEO's complex schedule, scheduling meetings, appointments, and travel arrangements.
- Communication Management:Screening calls and emails, responding to inquiries, and forwarding relevant information to the CEO.
- Meeting Preparation:Preparing agendas, gathering necessary materials, and taking meeting minutes.
- Travel Coordination:Arranging travel logistics, including booking flights, accommodations, and ground transportation.
- Document Management:Maintaining electronic and physical files, preparing presentations, and handling confidential documents.
- Personal Assistance:Managing personal errands, coordinating appointments, and handling personal matters (depending on the situation and work delegated).
- Administrative Tasks:Handling expense reports, processing invoices, and managing office supplies.
Required Skills:
- Excellent Communication Skills:Strong written and verbal communication to effectively interact with internal and external stakeholders at all levels.
- Organizational Skills:Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines under pressure.
- Discretion and Confidentiality:Maintaining strict confidentiality regarding sensitive information.
- Proficiency in MS Office Suite:Expertise in Word, Excel, PowerPoint, and Outlook.
- Attention to Detail:Ensuring accuracy in all tasks and deliverables.
Qualifications:
- Bachelor's degree preferred
- Several years of experience as an Executive Assistant or Personal Assistant, ideally supporting a senior executive
- Strong understanding of business protocols and etiquette
- Ability to work independently and as part of a team
