Key responsibilities may include:

  • Calendar Management:Managing the CEO's complex schedule, scheduling meetings, appointments, and travel arrangements.
  • Communication Management:Screening calls and emails, responding to inquiries, and forwarding relevant information to the CEO.
  • Meeting Preparation:Preparing agendas, gathering necessary materials, and taking meeting minutes.
  • Travel Coordination:Arranging travel logistics, including booking flights, accommodations, and ground transportation.
  • Document Management:Maintaining electronic and physical files, preparing presentations, and handling confidential documents.
  • Personal Assistance:Managing personal errands, coordinating appointments, and handling personal matters (depending on the situation and work delegated).
  • Administrative Tasks:Handling expense reports, processing invoices, and managing office supplies.

Required Skills:

  • Excellent Communication Skills:Strong written and verbal communication to effectively interact with internal and external stakeholders at all levels.
  • Organizational Skills:Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines under pressure.
  • Discretion and Confidentiality:Maintaining strict confidentiality regarding sensitive information.
  • Proficiency in MS Office Suite:Expertise in Word, Excel, PowerPoint, and Outlook.
  • Attention to Detail:Ensuring accuracy in all tasks and deliverables.

Qualifications:

  • Bachelor's degree preferred
  • Several years of experience as an Executive Assistant or Personal Assistant, ideally supporting a senior executive
  • Strong understanding of business protocols and etiquette
  • Ability to work independently and as part of a team
