Role & Responsibilities
Should be fluent in English, both verbal and written
Responsibilities include all administrative functions of the department: answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning.
Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, having a sense for the issues taking place in the environment and keeping the CEO updated.
Plans, coordinates, and ensures the CEO's schedule is followed and respected.
Making travel arrangements and detailed travel itineraries.
Skilled in managing group logistics, including vendor management, event planning, transportation and budgeting.
Organizing affordable air, hotel, and ground transportation. Make thorough travel schedules (including smooth transitions between time zones). Manage international and domestic travel procedures in collaboration with in-house travel agents.
Identifying affordable vendors for events, office supplies and corporate gifts. Placing timely order and coordinating delivery and shipping.
Advanced knowledge of Microsoft Outlook as well as basic working knowledge of Microsoft Word, Excel and PowerPoint.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
KEY REQUIREMENTS: COMPETENCIES
Should have 3+ years working as an Executive Assistant to senior executives
Should have experience communicating and dealing with external vendors, executives, and clients.
Should have excellent English oral and written communication (4/5).
Should be organized, good with documentation, patient, and demonstrate attention to details.
Work from the office is mandatory.
Excellent time management skills; ability to set priorities.
Must be resourceful and able to come up with cost-efficient ideas and solutions.
