Job Description

We are seeking a detail-oriented and proactive E-Commerce Operations Executive to manage end-to-end operational activities, including billing, appointment coordination, SAP invoicing, and warehouse dispatch coordination. The role requires strong organizational skills, system proficiency, and the ability to coordinate effectively with internal teams and external e-commerce warehouse partners.

Key Responsibilities1. Billing & SAP Operations
  • Generate and process invoices accurately using SAP.
  • Ensure timely and error-free billing for all e-commerce orders.
  • Verify order details, pricing, taxes, and discounts before invoicing.
  • Maintain proper documentation and billing records.
  • Coordinate with the finance team for reconciliation and issue resolution.
2. Appointment Coordination
  • Schedule and manage dispatch appointments with e-commerce warehouses (E-com WHs).
  • Follow up on appointment confirmations and changes.
  • Maintain daily appointment trackers and ensure timely updates.
3. Warehouse Coordination & Dispatch
  • Coordinate with the internal warehouse team for order preparation and dispatch.
  • Share appointment schedules with warehouse teams to ensure timely shipment.
  • Ensure orders are packed, labeled, and dispatched as per marketplace guidelines.
  • Track dispatch status and escalate delays when required.
4. E-Commerce Warehouse Coordination
  • Act as a point of contact between the company and external e-commerce warehouses.
  • Coordinate for appointment bookings, delivery schedules, and issue resolution.
  • Ensure compliance with marketplace dispatch timelines and SLAs.
5. Documentation & Reporting
  • Maintain accurate operational records.
  • Prepare daily/weekly dispatch and billing reports.
  • Track pending orders, appointment status, and dispatch delays.
  • Highlight operational bottlenecks and suggest improvements.
Required Skills & Qualifications
  • Bachelor's degree in Commerce, Business Administration, or related field.
  • 13 years of experience in E-commerce Operations / Supply Chain / Billing.
  • Hands-on experience in SAP billing module.
  • Strong coordination and communication skills.
  • Proficiency in MS Excel (basic to intermediate level).
  • Good organizational and time management skills.
  • Ability to work under deadlines and manage multiple tasks simultaneously.
Preferred Experience
  • Experience working with e-commerce marketplaces (e.g., Amazon, Flipkart, etc.).
  • Familiarity with warehouse dispatch processes and logistics coordination.
