As we expand our digital presence across major e-commerce platforms and our Shopify website, we are looking for a dynamic and detail-oriented professional to manage and streamline our online operations.
Role Overview
The Executive Assistant E-Commerce will be responsible for managing end-to-end online operations including inventory management, marketplace handling, Shopify updates, dispatch coordination, and financial tracking. This role requires a proactive individual who can work independently and take ownership of multiple operational tasks.
Key Responsibilities
1. Inventory Management
Manage inventory received from the product team.
Ensure proper numbering, tagging, barcoding, and organized storage.
Maintain accurate stock records and daily updates.
Monitor dispatches, returns, and stock reconciliation.
2. E-Commerce Portal Management
Product listing and catalog management on marketplaces such as Amazon, Myntra, Flipkart, etc.
Upload product details including descriptions, images, pricing, and SEO keywords.
Monitor inventory updates and manage order processing.
Handle returns and exchange coordination.
3. Shopify Website Management
Upload and manage products on Shopify.
Update collections, banners, and categories.
Track website inventory and orders.
Coordinate with the website developer when required.
4. Dispatch & Packaging Coordination
Coordinate with the dispatch team to ensure timely shipments.
Maintain premium packaging standards aligned with brand positioning.
Track dispatch records and shipment details.
5. Creative & Marketing Coordination
Coordinate with the creative team for product photoshoots and videos.
Assist in creating product videos for social media and marketplaces.
Share product details and inventory information with marketing partners.
6. Financial Tracking & Reporting
Maintain records of payments received from various portals.
Track commissions, deductions, and settlement reports.
Prepare basic MIS reports including sales, stock, and pending orders.
7. Administrative Support
Vendor coordination and communication.
Data management and documentation.
Maintain organized digital and physical records.
Required Skills
23 years of experience in e-commerce operations.
Experience handling multiple online marketplaces.
Basic knowledge of Shopify platform.
Strong Excel skills for inventory and reporting.
Understanding of product cataloging and SEO basics.
Strong organizational and multitasking abilities.
Ability to work independently in a startup environment.
Basic knowledge of luxury product handling is an advantage.
