The Role
The officer will support Austrade's Chennai office operations with driving services to diplomats, staff, officials and visitors.
The office will also support administrative tasks such as basic data entry into corporate systems and customer relationship management systems as well as other routine administrative tasks such as ordering supplies, managing couriers and escorting visitors to the offices.
This position requires a self-motivated, outcomes-driven individual with a commitment to contribute and communicate as a team player, preferably in an international environment.
Duties include
- Driving diplomats, staff, officials and visitors in Austrade's vehicle as required
- Maintaining vehicles in a clean and roadworthy condition
- Carrying out minor maintenance to vehicles and daily checks such as oil, water, tyres
- Inspecting vehicles for minor defects and promptly report damage to the relevant Manager
- Ensuring vehicle registrations and insurance are kept up to date and preparing appropriate documentation
- Utilizing internal databases and knowledge management systems to support work practices
- Working as part of an Austrade team and maintaining standards and policies, including workplace diversity, ethical practice and occupational health and safety principles and compliance with audit requirements.
- Supporting Corporate Service Adviser with office administrative processes as required
- Assisting Corporate Service Adviser with facility management duties and client activity coordination (organizing meetings and venues) for visits and events, including assisting with program preparation and event set up, as well as ensuring the cleanliness and orderliness of the office
- Ensuring strong working relationship with Department of Foreign Affairs and Trade (DFAT) and other Australian Government agencies
- Undertaking guest facilitation (including assisting in making tea/coffee for guests at Austrade)
- Delivering letters, goods, personal effects and packages, and managing courier services as required
- Participating in after-hours duties, as required

Eligibility
To be eligible for consideration and appointment you must have:
- Work Authorisation - to be eligible for employment with Austrade in India, candidates must be legally authorised to live and work in India at the time of appointment.
- Language - the successful candidate must be a highly motivated team member, fluent in written and spoken English.
- Security Clearance - the successful applicant must be willing to complete an Entry Level Screening Pack and be confirmed as a suitable person to access Government resources prior to commencement in the role.
