How You'll Make an Impact
- Manage the complete document lifecycle for EPC projects, ensuring controlled creation, review, approval, submission, and archiving in accordance with project and organizational standards.
- Maintain and update Master Document Lists (MDL) and Coordinate the Project Document List (PDL), ensuring alignment with engineering inputs and project metadata requirements.
- Handle incoming and outgoing submittals, transmittals, customer comments, and vendor documentation - ensuring version control, traceability, and compliance with the document governance model.
- Ensure document integrity, metadata accuracy, and correct revision sequencing across all controlled project documentation.
- Collaborate closely with engineering, procurement, quality, and project management teams to ensure timely availability of documents needed for EPC execution phases.
- Monitor documentation progress and follow up with internal stakeholders and customers to close overdue items, support status reporting through regular dashboards and visual summaries.
- Configure and manage DMS workspaces including slot allocation, folder structures, access permissions, and system readiness for project kickoff.
- Support quality assurance by adhering to regulatory instructions, documentation governance, project standards, and process guidelines throughout the project lifecycle.
- Serve as a single point of contact for documentation matters, ensuring clear communication.
Your Background
- Around 5 years of experience as a Document Controller in EPC or turnkey project environments (e.g., grid automation, substations, FACTS, HVDC, or industrial infrastructure projects).
- Strong exposure to controlled documentation workflows, project transmittals, metadata management, engineering document structures, and customer submission processes.
- Practical experience across multiple DMS tools such as Aconex, ECM/NextECM, SharePoint etc.
- Experience supporting multi‑disciplinary engineering teams and managing high‑volume documentation in complex EPC environments.
- Experience interacting directly with customer documentation teams and handling customer comment cycles.
- Knowledge of document control regulatory requirements, internal project instructions, and documentation compliance principles.
Skills & Competencies
- Proficiency in InEight Document Management and/or xECM is a strong advantage
- Strong command of version control, metadata management, document numbering systems, workflows, and approval matrices.
- Ability to configure and maintain DMS environments, including document templates, workspace setup, and automated workflows.
- Excellent organizational skills with high attention to detail; able to manage large documentation volumes under tight EPC timelines.
- Competence in generating documentation status reports and visual dashboards using Power BI or similar tools.
- Strong communication and follow‑up skills for coordinating with cross‑functional teams and external customers.
- Ability to work independently and proactively identify gaps, delays, or documentation risks.
- Familiarity with contractual documentation requirements, quality standards.
