The Document Controller will manage all documentation related to the Right of Way (ROW) acquisition and management processes within a transmission line project. This role ensures accurate control, filing, and distribution of ROW-related documents, supporting the legal, technical, and administrative aspects of securing and maintaining the transmission corridor.
Key Responsibilities:
- ROW Document Management:
- Receive, classify, and log ROW-related documents such as land acquisition agreements, permits, compensation records, correspondence with landowners, government approvals, environmental clearances, and surveys.
- Maintain a secure and organized repository (both electronic and physical) of all ROW documents to ensure easy retrieval and audit readiness.
- Version Control & Compliance:
- Monitor and control versions of ROW documentation, ensuring that all documents are the latest approved copies and properly authorized.
- Ensure all ROW documentation complies with regulatory requirements, contractual obligations, and company standards.
- Coordinate document approval workflows with legal, land acquisition teams, project management, and external stakeholders.
- Communication & Coordination:
- Facilitate timely distribution of ROW documents to project teams, contractors, consultants, and regulatory bodies as required.
- Track correspondence related to ROW acquisition and resolution of issues with landowners and authorities.
- Maintain detailed logs of document transactions and communication trails.
- Reporting & Support:
- Prepare and provide regular reports on ROW documentation status, pending approvals, and outstanding issues.
- Assist with internal and external audits and inspections related to ROW compliance.
- Support the ROW team in maintaining historical records and documentation archives.
Qualifications:
- Diploma or Bachelor's degree in Engineering, Land Management, Business Administration, or related field.
- Experience in document control, preferably in transmission line projects with ROW involvement.
- Familiarity with ROW processes, land acquisition documentation, permits, and regulatory frameworks.
- Proficiency in document management systems (e.g., SharePoint/Aconex) and Microsoft Office(Powerpoint & Excel).
- Strong organizational skills, attention to detail, and ability to handle sensitive legal documents.
- Good communication skills and ability to coordinate across multiple stakeholders.
