Dispatch Executive

Location: Remote (India-based preferred)

We are a technology-enabled luxury ground transportation booking platform headquartered in Canada, operating across major cities including Toronto, Montreal, Ottawa, Calgary, and Vancouver.

We operate as a centralized booking and dispatch platform managing licensed and insured subcontractor chauffeurs. We focus on guaranteed pick-ups, structured dispatch systems, and premium client experience.

Role Summary

The Dispatch Executive is responsible for real-time trip coordination and execution across multiple cities.

This role ensures smooth trip assignments, live monitoring, accurate communication with chauffeurs, and strict adherence to operational SOPs.

This is an execution-focused position with high attention to detail and accountability.

Core Responsibilities

1. Trip Assignment & Coordination

• Assign trips to approved chauffeurs

• Confirm vehicle type and availability

• Ensure timely acknowledgement from suppliers

• Monitor trip schedules across time zones

2. Live Trip Monitoring

• Track inbound flights for airport transfers

• Monitor chauffeur arrival status

• Identify potential delays or risks

• Escalate operational issues to Operations Manager immediately

3. Chauffeur Communication

• Share trip details clearly and accurately

• Handle last-minute changes

• Confirm pick-up instructions

• Ensure chauffeurs follow service standards

4. Client Communication

• Send confirmations where required

• Provide updates during irregular situations

• Maintain professional and calm communication

5. Reporting & Documentation

• Maintain accurate trip logs

• Update CRM records

• Document incidents and irregularities

• Submit daily operational summary

Key KPIs

• Assignment accuracy rate

• Response time to updates

• Error-free execution

• Escalation speed

• Compliance with SOP

Required Experience

• 2 to 4 years in dispatch, coordination, or operations support

• Strong written and verbal communication skills

• High attention to detail

• Ability to manage multiple trips simultaneously

• Comfort using CRM or booking systems

• Ability to work flexible hours if required
