Job Summary:
The Dispatch & Billing Operator is responsible for coordinating dispatch activities and ensuring accurate and timely billing of goods. The role involves preparing invoices, maintaining dispatch records, and coordinating with stores, transporters, and accounts teams to ensure smooth operations.
Key Responsibilities:
Dispatch Operations:
- Coordinate daily dispatch activities as per delivery schedules
- Prepare delivery challans, e-way bills, and other dispatch documents
- Ensure proper packaging, labelling, and documentation of goods
- Liaise with transporters for timely vehicle placement and dispatch
- Maintain dispatch records and track shipments
Billing & Invoicing:
- Generate accurate invoices in ERP/accounting system
- Verify order details, pricing, and tax calculations before billing
- Ensure compliance with GST and other statutory requirements
- Maintain billing records and support reconciliation activities
Coordination:
- Coordinate with Store, Sales, and Accounts departments
- Resolve discrepancies related to dispatch or billing
- Provide dispatch and billing status updates when required
Documentation & Compliance:
- Maintain proper documentation for audits and internal records
- Ensure adherence to company policies and statutory norms
Required Skills & Competencies:
· Graduate / Commerce background preferred
- 1–3 years of experience in dispatch, billing, or logistics operations
- Basic knowledge of billing, invoicing, and GST
- Familiarity with ERP systems (e.g., Tally, SAP, etc.)
- Good coordination and communication skills
- Attention to detail and accuracy
- Basic computer knowledge (MS Excel, Word)
- Accuracy of invoices and dispatch documents
- Timely dispatch of goods
- Error-free documentation
- Coordination efficiency with internal teams
