Job Description
Deputy Manager-PayrollThe incumbent will support the Payroll Lead in ensuring accurate, compliant, and timely payroll operations within an outsourced payroll model. The role focuses on validation, controls, accounting, and payroll-related statutory compliance, while working closely with the external payroll vendor and internal stakeholders.
Skills And Competencies
Strong knowledge of Accounting Principles and GL Reconciliation
Deep expertise in Salary & Wage Accounting
Hands-on experience with SAP HANA Finance / SAP FI modules
Strong understanding of Income Tax compliance and payroll taxation
Knowledge of Section 43B, Variance, actuarial valuation and statutory liability management
Experience managing internal, statutory, and tax audits
Advanced proficiency in Excel and financial reporting tools
Payroll & Salary Accounting
- Maintain deep understanding of salary structures, payroll components, and wage accounting.
- Reconcile payroll reports with accounting records to ensure accuracy and completeness.
- Coordinate with Internal Team to ensure accurate salary booking and expense allocation.
- Ensure correct accounting of statutory deductions such as PF, ESIC, Professional Tax, TDS, gratuity, and bonus provisions.
Accounting & GL Reconciliation
- Manage General Ledger accounting and reconciliation related to salaries, wages, employee benefits, and operational expenses.
- Perform monthly GL reconciliation of payroll accounts, provisions, accruals, and expense ledgers.
- Ensure accurate accounting of salary, wages, incentives, bonuses, reimbursements, and employee-related costs.
- Monitor and reconcile payroll clearing accounts and expense provisions.
- Drive corrective action plans and process improvements based on audit findings.
- Prepare detailed audit reports and present findings to leadership.
Accounting
- Utilize SAP HANA Finance modules for accounting transactions, reconciliations, and financial reporting.
- Ensure accurate posting, reconciliation, and reporting of payroll-related entries in SAP HANA.
- Work with SAP FI/CO modules for GL accounting, cost center allocation, and expense tracking.
- Generate financial reports and MIS from SAP HANA to support management decisions.
- Support system audits, process improvements, and automation within SAP accounting workflows.
Income Tax & Compliance
- Possess strong knowledge of Income Tax laws related to salary taxation and corporate compliance.
- Manage TDS compliance including deduction, reconciliation, and filing for salary and vendor payments.
- Ensure accurate preparation and reconciliation of TDS returns (Form 24Q, 26Q, etc.).
- Handle Income Tax notices, assessments, and departmental queries.
- Provide tax compliance guidance related to payroll and employee benefits.
- Maintain detailed tracking and reconciliation of Section 43B liabilities including PF, ESIC, gratuity, bonus, and other statutory payments
MIS & Financial Reporting
- Prepare and analyse MIS reports related to payroll costs, salary trends, and employee expenses.
- Conduct variance analysis and cost monitoring for manpower expenses.
- Support budgeting and forecasting related to employee costs and operational expenses
Audit & Compliance Management
- Manage internal audits, statutory audits, and tax audits related to payroll and expense accounts.
- Prepare audit schedules, reconciliations, and supporting documentation.
- Ensure compliance with accounting standards, tax laws, and internal financial controls
- Report and update status of compliances in an online compliance tracking system
Process Improvement & Controls
- Implement strong internal controls for payroll accounting, tax compliance, and expense management.
- Identify opportunities for process improvement and automation in SAP HANA accounting workflows.
- Support finance leadership in strengthening governance and compliance frameworks.
