The Cash Posting Executive is responsible for accurately posting payments, adjustments, and denials received from insurance carriers and patients into the practice management (PM) system. The role ensures accurate reconciliation, zero backlogs, and timely reporting to support smooth revenue flow in the RCM cycle.
Key Responsibilities
- Payment Posting
- Post insurance and patient payments (EOB/ERA) accurately in the PM system.
- Ensure correct allocation of payments against claims, DOS, and CPTs.
- Handle manual posting for complex EOBs when auto-posting is not feasible.
- Adjustment & Denial Posting
- Post adjustments based on contractual guidelines and payer rules.
- Record denials with appropriate denial codes.
- Update the system with correct remark codes for downstream AR follow-up.
- Reconciliation
- Balance batches daily against bank deposits, ERAs, and internal trackers.
- Identify and highlight variances or miss-posted amounts.
- Maintain zero discrepancy between payer remittance and posted transactions.
- Refunds & Corrections
- Process overpayments and coordinate refund requests with the Finance team.
- Correct mis-posted payments, denials, or adjustments when identified.
- Documentation & Reporting
- Maintain daily posting logs, deposit summary reports, and reconciliation sheets.
- Escalate any payer-level issues or missing remittance information.
- Compliance & Accuracy
- Ensure 100% adherence to HIPAA and PHI security protocols.
- Maintain high accuracy and productivity as per SLA requirements.
Required Skills & Experience
- 1–4 years of experience in US Healthcare RCM – Cash Posting / Cash Applications.
- Strong understanding of EOBs, ERAs, denial codes, adjustments, and reconciliation.
- Hands-on experience with PM/EHR systems.
- Ability to interpret remittance advice and insurance payment patterns.
- Good typing speed, numerical ability, and attention to detail.
- Basic Excel proficiency (VLOOKUP, filters, reconciliation sheets).
