Overview
We are seeking a detail-oriented and analytically strong Traffic Operations Coordinator with hands-on experience in Mediaocean / Prisma to support financial and AdOps leaning operations across media planning, buying, billing, and reconciliation. This role will act as the liaison between AP, Billing , M edia, and client teams to ensure fiscal accuracy, process optimization, and compliance with agency and client requirements .
Responsibilities
Broadcast Traffic Operations
- Creative Trafficking & Spot Management
- Assist with creating, updating, and distributing traffic instructions to stations
- Generate traffic out of OX or Prisma
- Traffic commercial creative to broadcast stations and cable systems using approved platforms
- Ensure all creative meets station specs and deadlines
- Communicate with station traffic departments to confirm receipt of orders and creative before traffic deadlines for airing
- Follow up on missing confirmations, discrepancies, or late materials
- Flag potential issues such as missing spots, incorrect rotations, or misaligned dates
- Track and organize traffic placements, confirmations, and revisions
- Coordinate updated creative swaps or revisions during live flights
- Act as day-to-day contact for station traffic questions and issue resolution
- Billing & Reconciliation
- Enter and maintain broadcast traffic fees in Prisma
- Confirm traffic invoices match approved buys and reconcile
Direct Mail Traffic Operations
- Manage media placements, order trafficking, shipping, procurement, delivery, and client specific reporting
- Prepare, create, review, and release orders to the marketplace confirm due dates, validate pricing, add detailed order instructions, update List Managers, and contact emails.
- Pull, format, and distribute key campaign reports List of Lists (LOLs), Merge LOLs, and Shipping Status updates.
- Traffic orders with List Managers confirming creative, offer, package details; validate pricing, approvals, and maildates; managing quantity requests and shipment approvals; tracking file transfers; and confirming receipt with the Service Bureau.
- Communicate and manage internal relationship with the Media Planning and Client Service teams throughout the production process.
- Manage order variances including counts, pricing changes, questions, media approvals, and shipping dates with Media Planning, making changes where necessary.
- Coordinate and manage internal communication and relationship with the billing team for merge uploads, resolution of billing discrepancies, vendor invoices, and client invoicing.
- Request and submit Merge/Broker Reports to Billing Reco team for upload.
- Provide final mailing documentation to vendors, so invoices can be sent for payment.
- Review vendor invoices confirm subjob assignment, reconciling pricing against CORE, enter invoice details into CORE, update pricing as needed, and approve or reject invoices in Maconomy based on established criteria.
- Resolve billing discrepancies review flagged issues, ensure all invoices are received and approved, confirm billing.
List Solutions Support
- Send Requests to our vendors that align with those list names for counts on segments requested
- When orders are received prepare the list names in CORE and detail order pull instructions
- Output orders and email to the appropriate vendor
