Contracts & Compliance Coordinator (US Staffing Industry)

Location: On-site in Noida office

Night Shift: 6:30 pm - 3:30 am IST

SUMMARY

ARK Solutions, Inc. is seeking a detail-oriented and proactive Contracts & Compliance Coordinator to manage client, vendor, and operational contracts, ensuring compliance, accuracy, and seamless processing. This role supports contract management, vendor compliance, and operational efficiency while collaborating closely with various internal teams.

RESPONSIBILITIES

Client & Vendor Contract Management:

  • Review, analyze, and interpret client contracts, ensuring terms align with company policies.
  • Assign contract components to relevant internal teams (e.g., payment terms to Accounting, POCs to Delivery teams).
  • Upload contract documents to the internal database and maintain organized records.
  • Send and manage Certificates of Insurance (COI) and related compliance documents.
  • Coordinate contract sign-offs, ensuring proper authorization and compliance with state laws and terms.
  • Draft and send vendor contracts with appropriate terms and conditions.
  • Collect and manage vendor compliance documents, including W-9 forms and COIs.

Operational Contract Management:

  • Oversee contracts related to operational services such as phone systems, electricity, Microsoft licenses, Dice, and other service providers.
  • Track contract expiration and renewal dates, ensuring timely actions.

Compliance & Claims Management:

  • Manage unemployment claims and registrations across relevant states.
  • Work with insurance providers to obtain updated COIs and send them to accounts as required.
  • Ensure compliance with company policies, industry regulations, and legal standards.

Stakeholder Collaboration:

  • Act as the central point of contact for all contract-related matters.
  • Collaborate with internal teams, including Accounting, Delivery, Operations, and Legal, to ensure contract terms are well understood and executed.

REQUIREMENTS

  • Bachelor's degree in Business Administration, Legal Studies, or a related field.
  • 4 years of experience in contract management or a related role.
  • Basic understanding of legal terminology and contract management principles.
  • Excellent negotiation, communication, and stakeholder management skills.
  • Proficiency in JobDiva ATS and Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional organizational skills with keen attention to detail.
