About the Opportunity
Offshore Minds is a distinguished firm dedicated to providing world-class financial analysis and accounting support within the real estate sector. We partner with a diverse clientele of private equity investors, developers, and fund managers across the U.S. and Europe.
We are hiring a Client Relationship Manager & Onboarding Specialist to act as the primary bridge between new prospects and our technical teams. This role requires someone who is personable, highly organized, and capable of managing the entire client lifecycle, from initial quote to active onboarding. The ideal candidate has excellent English communication skills, experience with US business administration (formations/contracts), and a commercial mindset to convert leads into active partners.
Key Responsibilities
- Lead Management: Monitor the CRM and Hot Leads channels to manage potential clients and follow up to convert prospects to active clients.
- Quoting & Contracting: Oversee client quoting, prepare proposals, and execute engagement letters and client renewals.
- Administrative Setup: Handle US Entity Formations (LLCs/Corps), terminations, and dissolutions with relevant state authorities.
- Onboarding Operations: Manage the setup of new clients into internal systems (billing/ACH/invoicing) and create project workflows.
- Client Communication: Serve as the primary front-of-house contact for administrative inquiries, engagement questions, and scope changes.
- The Warm Handoff: Facilitate a seamless transition and introduction to the Onboarding Manager for technical implementation.
- CRM Management: Maintain accurate records of client status, renewals, and pipeline data.
Requirements
- Bachelor's or Master's degree in Business Administration, Communications, or related field.
- 35+ years experience in Client Success, Sales Operations, or Onboarding specifically for US-based clients.
- Exceptional English communication skills (Verbal & Written) with the ability to build rapport with US business owners.
- Proven experience drafting proposals, engagement letters, and managing US entity filings (preferred).
- Hands-on experience with CRM tools (HubSpot/Salesforce) and e-signature platforms (PandaDoc/DocuSign).
- Strong organizational skills; able to manage multiple leads, contracts, and filings simultaneously.
