Job Description

Job Title: Chief of Staff

Reporting To: Chief Operations Officer (COO)

Experience: 34 years

Location: Jaipur

Role Overview

The Chief of Staff will closely support the COO in managing day-to-day priorities, calendar coordination, and execution of key initiatives. This role acts as an execution partner and coordination anchor, ensuring smooth information flow, timely follow-ups, and effective delivery of projects across teams.

This position is ideal for a high-potential professional early in their career, looking to gain exposure to senior leadership, operations, and cross-functional project execution.

Key Roles & Responsibilities

Executive & Calendar Coordination

  • Manage the COO's calendar, meetings, and schedules to ensure effective time management.
  • Coordinate internal and external meetings, prepare agendas, and circulate minutes of meetings (MoMs).
  • Track action items and follow up with stakeholders to ensure closure.
  • Act as the first point of contact for routine communications to the COO.

Project & Delivery Coordination

  • Support execution of operational and strategic initiatives driven by the COO.
  • Coordinate with cross-functional teams to track project timelines, deliverables, and dependencies.
  • Maintain project trackers and ensure timely status updates.
  • Flag risks, delays, and dependencies proactively.

Stakeholder & Communication Management

  • Coordinate with functional teams on behalf of the COO for updates and follow-ups.
  • Support leadership meetings by consolidating inputs and preparing summaries.
  • Ensure accurate and timely communication across stakeholders.

Operational Support & Reporting

  • Assist in preparing MIS, dashboards, presentations, and reports for leadership review.
  • Collate data, track KPIs, and support basic analysis.
  • Ensure adherence to timelines and operational discipline across assigned initiatives.

Key Skills & Competencies

  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and follow-through
  • Ability to work closely with senior stakeholders
  • Proficiency in MS Excel, PowerPoint, and email communication
  • Basic understanding of project management concepts

Preferred Qualifications

  • Graduate / Postgraduate in Management, Operations, or related fields
  • Prior experience in executive support, operations, program coordination, or PMO roles
  • Exposure to working with senior leadership is a plus
