About The Role

We are seeking an experienced Bookkeeper & Payroll Administrator to join our team in a full-time, remote capacity. This role is ideal for a detail-oriented professional with extensive knowledge of North American trucking accounting practices. The successful candidate will be responsible for managing the complete bookkeeping cycle, payroll processing, and ensuring compliance with relevant tax regulations and reporting requirements.

This is a hands-on position that requires independence, strong organizational skills, and a deep understanding of the trucking and logistics industry. The role involves direct interaction with financial data, vendors, drivers, and regulatory bodies, making accuracy and professionalism essential. The candidate must be comfortable working autonomously within a structured environment and adhering to fixed hours aligned with Pacific Standard Time (PST).

Qualifications

  • Minimum of 2+ years of bookkeeping experience with North American companies (Canada/USA).
  • At least 2+ years of hands-on experience working with QuickBooks Online; proficiency is mandatory.
  • Direct experience in trucking or transportation accounting, with a thorough understanding of industry-specific financial processes.
  • Proven expertise in Canadian payroll processing, including T4 preparation and CRA compliance.
  • Strong knowledge of GST/HST and IFTA fuel tax reporting and compliance requirements.
  • Advanced skills in Microsoft Excel and other relevant financial software tools.
  • Ability to work independently with minimal supervision, demonstrating strong organizational and time-management skills.
  • Excellent communication skills in English, both spoken and written, to facilitate clear and professional interactions with team members and external stakeholders.

Responsibilities

  • Manage the full cycle of bookkeeping for trucking and logistics operations, ensuring accuracy and completeness of financial records.
  • Handle accounts payable and receivable, including fuel cards, tolls, permits, and vendor payments.
  • Process Canadian payroll, including driver settlements, reimbursements, and compliance with CRA regulations.
  • Prepare and file GST/HST returns and other CRA-related reports to ensure regulatory compliance.
  • Oversee IFTA and provincial fuel tax reporting, ensuring timely and accurate submissions.
  • Perform bank and credit card reconciliations to maintain accurate financial statements.
  • Track equipment-related costs, depreciation, and maintenance expenses to support financial planning and analysis.
  • Prepare monthly financial statements such as profit and loss statements, balance sheets, and cash flow reports.
  • Assist with year-end closing procedures and support external audits to ensure compliance and accuracy of financial data.
