Job Description

Key Responsibilities:

  • Payroll Processing:
  • Assist in processing payroll for all employees, ensuring accurate and timely payments on a bi-weekly, semi-monthly, or monthly basis.
  • Ensure deductions for taxes, benefits, garnishments, and other withholdings are correctly applied.
  • Process new hires, terminations, and employee status changes in the payroll system.
  • Review and ensure payroll data accuracy, including hours worked, overtime, bonuses, commissions, and other compensation-related data.
  • Compliance and Reporting:
  • Ensure payroll processing complies with federal, state, and local tax laws, wage and hour regulations, and company policies.
  • Prepare and file federal, state, and local payroll tax reports, including quarterly and annual filings.
  • Assist with audits related to payroll processing and ensure that all payroll records are maintained in accordance with company and legal requirements.
  • Stay updated with payroll-related legislation, regulations, and best practices.
  • Employee Inquiries and Support:
  • Serve as the first point of contact for employees with payroll-related inquiries and resolve issues related to pay discrepancies, deductions, and benefits.
  • Provide guidance to employees on payroll-related issues, including tax withholdings, paychecks, and compliance matters.
  • Payroll Systems and Data Management:
  • Assist in the management and maintenance of payroll systems, ensuring data integrity and accuracy.
  • Support the integration of new payroll systems or software, and assist in troubleshooting system-related issues.
  • Maintain accurate records of employee payroll data, including time and attendance, benefits, and deductions.
  • Ad-hoc Projects:
  • Support payroll-related ad-hoc projects and assist with process improvements to enhance the efficiency and accuracy of payroll operations.
  • Assist with year-end payroll activities, including preparation of W-2 forms and other year-end reports.

Qualifications:

  • Education:
  • A Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field (preferred but not required).
  • Experience:
  • 1-2 years of experience in payroll processing, ideally within the US.
  • Familiarity with payroll software (e.g., ADP, Workday, UltiPro, or similar) is a plus.
  • Knowledge & Skills:
  • Knowledge of federal, state, and local payroll tax laws and compliance requirements.
  • Understanding of payroll processes, including tax deductions, benefit deductions, and garnishments.
  • Proficiency in MS Excel and other office software (e.g., Word, Outlook).
  • Strong attention to detail and ability to spot discrepancies in payroll data.
  • Excellent organizational skills and ability to manage multiple tasks simultaneously.
  • Communication Skills:
  • Strong written and verbal communication skills to interact effectively with employees and management.
  • Ability to explain payroll information in a clear and concise manner.

Desirable Skills:

  • Certifications:
  • Payroll certifications such as the Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) are a plus.
  • Problem Solving:
  • Ability to troubleshoot payroll issues and implement solutions in a timely and efficient manner.
  • Teamwork:
  • Ability to work effectively both independently and within a team, supporting colleagues when needed.
  • Confidentiality:
  • Must be able to handle sensitive payroll data with discretion and professionalism.
