Assist in processing payroll for all employees, ensuring accurate and timely payments on a bi-weekly, semi-monthly, or monthly basis.
Ensure deductions for taxes, benefits, garnishments, and other withholdings are correctly applied.
Process new hires, terminations, and employee status changes in the payroll system.
Review and ensure payroll data accuracy, including hours worked, overtime, bonuses, commissions, and other compensation-related data.
Compliance and Reporting:
Ensure payroll processing complies with federal, state, and local tax laws, wage and hour regulations, and company policies.
Prepare and file federal, state, and local payroll tax reports, including quarterly and annual filings.
Assist with audits related to payroll processing and ensure that all payroll records are maintained in accordance with company and legal requirements.
Stay updated with payroll-related legislation, regulations, and best practices.
Employee Inquiries and Support:
Serve as the first point of contact for employees with payroll-related inquiries and resolve issues related to pay discrepancies, deductions, and benefits.
Provide guidance to employees on payroll-related issues, including tax withholdings, paychecks, and compliance matters.
Payroll Systems and Data Management:
Assist in the management and maintenance of payroll systems, ensuring data integrity and accuracy.
Support the integration of new payroll systems or software, and assist in troubleshooting system-related issues.
Maintain accurate records of employee payroll data, including time and attendance, benefits, and deductions.
Ad-hoc Projects:
Support payroll-related ad-hoc projects and assist with process improvements to enhance the efficiency and accuracy of payroll operations.
Assist with year-end payroll activities, including preparation of W-2 forms and other year-end reports.
Qualifications:
Education:
A Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field (preferred but not required).
Experience:
1-2 years of experience in payroll processing, ideally within the US.
Familiarity with payroll software (e.g., ADP, Workday, UltiPro, or similar) is a plus.
Knowledge & Skills:
Knowledge of federal, state, and local payroll tax laws and compliance requirements.
Understanding of payroll processes, including tax deductions, benefit deductions, and garnishments.
Proficiency in MS Excel and other office software (e.g., Word, Outlook).
Strong attention to detail and ability to spot discrepancies in payroll data.
Excellent organizational skills and ability to manage multiple tasks simultaneously.
Communication Skills:
Strong written and verbal communication skills to interact effectively with employees and management.
Ability to explain payroll information in a clear and concise manner.
Desirable Skills:
Certifications:
Payroll certifications such as the Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) are a plus.
