ASSOCIATE PRODUCER
We are looking for a sharp, personable, and highly organized Associate Producer to be the operational backbone of our Gen AI production team. You will be the glue between clients, creatives, and
delivery, ensuring that every project runs on time, on brief, and on point. If you thrive in a fast-paced, collaborative environment and love owning a process from start to finish, this role is for you.
KEY RESPONSIBILITIES
1. Client Communication & Relationship Management
- Serve as a confident point of contact for clients - managing briefs, updates, and feedback with clarity and professionalism
- Translate client requirements into actionable briefs for the internal team
- Maintain strong client relationships through proactive, warm, and precise communication
2. Production & Workflow Management
- Over look end-to-end production workflows for in-house projects, from kickoff to final delivery
- Maintain and manage the job task tracker, ensuring every project milestone is logged and visible
- Monitor daily team workloads, flag blockers, and proactively resolve scheduling conflicts
- Keep a strong track of invoices and payments
3. Deadline & Time Management
- Own the production calendar and ensure all internal deadlines are met without exception
- Set clear timelines for each phase of production
- Escalate risks early and develop contingency plans to keep projects on track
4. Process Adherence & Quality Control
- Ensure the team follows established process guidelines at every stage of production
- Review team outputs to confirm they align with client feedback and approved directions, preventing scope drift
- Keep a close watch on advancements in the ever growing Gen AI workflow
- Champion a culture of accountability, attention to detail, and continuous process improvement
5. Operations & Administration
- Handle day-to-day operational correspondence including emails, reports, and project documentation
- Budget allocation for projects
- Coordinate across departments to ensure smooth handoffs and resource alignment
- Manage external vendors and maintain a tight record
- Support the leadership team with reporting, scheduling, and internal communications
WHAT WE ARE LOOKING FOR
- 3 to 5 years of experience in production, project management, or a similar ops-heavy role
- Outstanding English communication skills, written and spoken with a confident, client-facing personality
- Proven ability to manage multiple projects and deadlines simultaneously without dropping the ball
- Experience handling a creative team and understanding in-house studio dynamics
- Experience working directly with brand clients or agency partners
- A natural organiser who is equally comfortable in spreadsheets, email threads, and face-to-face conversations
- A collaborative mindset, someone who leads by example and brings energy to the team
NICE TO HAVE
- Background in Gen AI production, advertising, or creative agency environments
- Familiarity with Gen AI production pipelines for video, photography, or design
