Position Title: Assistant Manager - Projects

Position Summary
The Assistant Manager - Projects is responsible for overseeing and managing all capital expenditure (CAPEX), operational expenditure (OPEX), design and construction (D&C), and refurbishment projects within assigned portfolio. This role ensures project delivery excellence while maintaining strict compliance with organizational standards and robust financial reporting mechanisms.
Key Responsibilities:
- Project Management - Manage end-to-end project lifecycle for CAPEX, OPEX, D&C, and refurbishment initiatives from conception through completion. Coordinate with internal stakeholders, external contractors, and vendors to ensure timely project delivery within approved budgets and quality standards. Develop and maintain comprehensive project schedules, milestone tracking, and risk mitigation strategies.
- Financial Management & Reporting - Oversee project budgets, cost tracking, and variance analysis for all assigned projects. Prepare regular financial reports including budget utilization, forecast updates, and cost-benefit analyses. Ensure accurate project accounting and proper allocation of expenses across CAPEX and OPEX categories. Monitor cash flow projections and provide financial recommendations to senior management.
- Compliance & Standards - Ensure all projects comply with local building codes, safety regulations, environmental standards, and JLL quality requirements. Maintain updated knowledge of regulatory changes affecting project delivery. Implement and monitor compliance protocols throughout project execution phases. Coordinate required inspections, permits, and certifications.
- Vendor & Contractor Management - Manage relationships with external contractors, consultants, and service providers. Oversee vendor selection processes, contract negotiations, and performance evaluations. Ensure adherence to procurement policies and maintain approved vendor databases. Monitor contractor compliance with safety, quality, and delivery standards.
- Documentation & Reporting - Maintain comprehensive project documentation including contracts, permits, drawings, specifications, and progress reports. Prepare regular status updates for senior management and clients. Ensure proper documentation of project changes, variations, and lessons learned. Manage project closure documentation and handover processes.
Required Qualifications:
- Education & Experience - Bachelor's degree in engineering, Construction Management, Architecture, or related field. Minimum 3-5 years of experience in project management within commercial real estate, construction, or facilities management sectors. Professional certification in project management (PMP, PRINCE2) preferred.
- Technical Skills - Strong understanding of construction processes, building systems, and project delivery methodologies. Knowledge of relevant building codes, safety regulations, and compliance requirements. Advanced proficiency in MS Office suite, particularly Excel for financial modeling and reporting.
- Core Competencies - Excellent organizational and time management skills with ability to manage multiple projects simultaneously. Strong analytical and problem-solving capabilities with attention to detail. Effective communication and interpersonal skills for stakeholder management. Financial acumen with experience in budget management and cost control. Leadership abilities to coordinate cross-functional teams and external partners.
- Performance Metrics - Project delivery within approved timelines and budgets. Compliance adherence rate across all managed projects. Quality of financial reporting and accuracy of cost forecasting. Client and stakeholder satisfaction scores. Vendor performance improvement and cost optimization achievements.
- Reporting Structure - This position reports directly to the Manager/Senior Manager - Projects and works closely with Finance, Operations, and Client Services teams. May supervise junior project coordinators and administrative support staff as required.
