Key Responsibilities

Office & Facility Management

  • Oversee day-to-day functioning of the corporate office or project office.
  • Ensure cleanliness, orderliness, and operational readiness of office spaces.
  • Manage facilities-related services such as housekeeping, security, utilities, and maintenance.

Administrative Operations & Support

  • Supervise routine administrative tasks such as reception, correspondence, documentation, and filing.
  • Maintain records (paper and digital) and ensure easy retrieval and compliance with company policies.

Staff Supervision & Team Leadership

  • Lead and mentor administrative staff, including assigning tasks, monitoring performance, and facilitating trainings.
  • Manage recruitment, onboarding, and work schedules for the admin team.

Policy, Process & Compliance

  • Develop and implement administrative policies and standard operating procedures to improve efficiency.
  • Ensure compliance with company policies and relevant statutory/regulatory requirements.

Coordination & Communication

  • Act as a liaison between departments (e.g., HR, Finance, Operations) to ensure smooth information flow.
  • Coordinate cross-department initiatives and support office events or meetings.

Budgeting & Vendor Management

  • Prepare and manage administrative budgets, track expenses, and control operational costs.
  • Oversee relationships with service providers (vendors, contractors) and negotiate contracts when needed.

Office Technology & Systems

  • Implement/oversee office tech systems (software, communication tools) to support administrative functions.
  • Help ensure that systems (IT support, phones, data networks) are functional and up to date.

Special Projects & Events

  • Manage special projects, corporate events, office relocations, or annual meetings.
  • Organize logistics for conferences, travel arrangements, and corporate gatherings.

Who are we looking for

  • From large and mid-sized organizations with significant headcount
  • Possess fluent communication skills. Who are poised and presentable
  • Have strong local vendor and logistics networks
  • Travel management
  • Are preferably based in Mumbai or nearby cities
  • Have hands-on MICE experience
  • Have managed Pan-India and international events and travel
  • Are currently leading a team
  • Have end-to-end exposure across MICE, Billing, Event Management & General Administration

5 to 7 years
