Job Summary
We are seeking a highly experienced and proactive professional to oversee and manage all administrative functions of the manufacturing facility. The ideal candidate will ensure smooth day-to-day operations, compliance with policies, and efficient coordination between departments.
Administrative & Facility Management
Manage overall administrative operations of the factory, ensuring efficiency, discipline, and smooth functioning
Ensure a high standard of facility management by effectively deploying and monitoring available resources
Oversee housekeeping, reception, and EPABX systems to ensure seamless operations
Ensure proper maintenance of workplace environment, including cleanliness, infrastructure, and utilities
Liaise with air-conditioning service providers to ensure efficient cooling and ventilation across the premises
Budgeting & Cost Control
Prepare and manage annual budgets for the administration department
Conduct periodic cost and productivity analyses for administrative initiatives
Implement cost-control measures and optimize administrative expenses without compromising service quality
Asset, Inventory & Maintenance Management
Maintain records of assets, inventory, and administrative expenses
Ensure issuance and availability of stationery, consumables, and other office supplies
Monitor adherence to preventive maintenance schedules for assets and equipment
Supervise maintenance of office infrastructure, utilities, and plant facilities
Vendor & Contract Management
Handle vendor identification, onboarding, and performance management
Negotiate contracts and monitor service-level agreements (SLAs)
Ensure quality and timely delivery of all outsourced services
Employee Services & Guest House Management
Ensure minimal response time and high-quality administrative support to employees
Manage travel arrangements, accommodation, and logistics for staff and visitors
Direct and oversee management of company guest houses, ensuring high service standards and cost efficiency
Key Requirements
Minimum 10 years of experience in factory or plant administration
Strong knowledge of labor laws, statutory compliance, and industrial regulations
Excellent leadership, communication, and negotiation skills
Proven ability to manage multiple vendors and housekeeping teams
Strong problem-solving and decision-making abilities
Proficiency in MS Office and ERP systems
Preferred Skills
Experience in manufacturing or industrial setup
Strong crisis management and conflict resolution skills
Ability to work under pressure and meet deadlines
High level of integrity and professionalism
