Key Responsibilities
Facility Operations Management
- Oversee daily property operations including housekeeping, security, engineering support, and administrative services
- Ensure smooth functioning of all facility services with minimal operational disruption
- Monitor facility conditions and coordinate timely maintenance and repairs
Vendor & Contract Management
- Manage vendor relationships and service contracts as per client approvals
- Ensure timely delivery of services and adherence to agreed SLAs
- Evaluate vendor performance and support procurement processes
Inventory & Supply Management
- Maintain adequate stock levels of essential supplies and consumables
- Track usage patterns and prepare periodic inventory reports
- Ensure efficient utilization of materials to control operational costs
Health, Safety & Risk Management
- Support implementation of occupational health and safety standards
- Participate in emergency preparedness, evacuation drills, and crisis response planning
- Assist in business continuity planning and risk mitigation activities
Financial & Budget Support
- Monitor petty cash and assist in basic budget control activities
- Ensure vendor invoices are processed accurately and in compliance with internal procedures
- Support cost optimization initiatives within facility operations
Client & Stakeholder Management
- Act as a key point of contact for client requirements and service expectations
- Ensure high levels of client satisfaction through proactive issue resolution
- Coordinate with internal teams to meet service level agreements and KPIs
Reporting & Documentation
- Prepare monthly management reports, stock reports, and meeting minutes
- Conduct routine service audits to ensure compliance and performance standards
- Maintain accurate operational records for review and reporting purposes
Team Leadership & Coordination
- Supervise and guide facility operations staff and service partners
- Drive continuous improvement initiatives within the team
- Support training and performance monitoring of on-ground staff
