Key Responsibilities
Facility Operations & Site Management
- Conduct scheduled and surprise facility inspections to ensure housekeeping and service quality standards
- Ensure timely closure of service requests and trouble tickets within defined SLAs
- Monitor overall site operations to maintain cleanliness, safety, and functionality
- Support smooth functioning of workplace services including mailroom, medical room, and ambulance services
Service Delivery & Soft Services Management
- Oversee soft services including housekeeping, pantry, and support services
- Ensure service quality standards are consistently met across all facility operations
- Assist in managing vendor-driven services to ensure operational efficiency
- Support inventory and stock management for facility consumables
Vendor & Performance Management
- Assist in vendor coordination and service performance monitoring
- Support scorecard preparation and performance evaluation of service providers
- Ensure vendor accountability in service delivery and SLA adherence
- Coordinate with vendors for issue resolution and operational continuity
Budgeting & Financial Support
- Assist in preparation and monitoring of facility budgets
- Support finance team with accruals, cost tracking, and variance analysis
- Provide recommendations for cost efficiency and operational optimization
- Help ensure accurate reporting of monthly and quarterly financial data
Stakeholder & Client Support
- Act as escalation point for facility-related issues and service disruptions
- Support client reporting and business review documentation
- Maintain strong communication with internal stakeholders and business units
- Ensure high levels of customer satisfaction through proactive service delivery
Workplace Moves & Space Coordination
- Support coordination of business unit moves with space planning teams
- Ensure smooth execution of relocation and workplace change activities
- Assist in managing emergency situations and operational disruptions
- Coordinate with cross-functional teams for seamless transitions
Compliance & Safety Management
- Ensure adherence to statutory compliance and safety standards
- Support emergency response procedures and crisis management activities
- Assist in maintaining compliance scores as per organizational norms
- Ensure workplace safety and risk mitigation practices are followed
Team Supervision & Task Coordination
- Support supervision of Assistant Facility Managers and Executives
- Assist in task allocation and operational guidance to team members
- Monitor performance and ensure adherence to operational standards
- Promote teamwork, accountability, and service excellence
Reporting & Continuous Improvement
- Support preparation of monthly and quarterly business reviews
- Assist in implementation of facility management technology tools
- Contribute to continuous improvement initiatives for operational efficiency
- Maintain accurate records, reports, and documentation for audits
