Job Description

Key Responsibilities

Facility Operations Management

  • Oversee day-to-day facility operations ensuring smooth service delivery and operational stability
  • Address real-time operational issues requiring guidance, approvals, and resolution
  • Ensure adherence to organizational policies, procedures, and facility management standards

Vendor & Contract Management

  • Manage vendor relationships to ensure compliance, service quality, and cost efficiency
  • Conduct regular KPI reviews with suppliers and track performance metrics
  • Oversee contract management for both internal and client-related services
  • Ensure timely execution of vendor deliverables and invoice processing

Landlord & Stakeholder Coordination

  • Liaise with landlords for issue resolution, facility-related coordination, and invoice management
  • Collaborate with internal stakeholders including PMOs, Admin teams, and business units
  • Conduct regular meetings with stakeholders to understand operational requirements

Financial & Inventory Management

  • Forecast budgets and ensure financial performance within minimal variance
  • Track and manage expenses, invoices, and inventory control
  • Support cost optimization initiatives and identify savings opportunities

Compliance & Risk Management

  • Ensure compliance with regulatory requirements and client standards
  • Participate in emergency evacuation procedures, crisis management, and business continuity planning
  • Identify and mitigate operational risks across facility operations

Client & Service Delivery

  • Interact with client SPOCs for walkthroughs, service requests, and issue resolution
  • Ensure high levels of client satisfaction through effective service delivery
  • Support client-specific initiatives and operational improvements

Event & Administrative Management

  • Plan, organize, and execute events for client and internal stakeholders
  • Support general administrative activities as required
  • Coordinate with teams to ensure seamless execution of workplace services

Team Leadership & Development

  • Manage and supervise teams including housekeeping and mailroom staff
  • Set performance targets, monitor progress, and provide coaching and mentoring
  • Foster a collaborative work environment focused on service excellence

Process Improvement & Strategy

  • Partner with SME teams to implement strategies, policies, and service improvements
  • Drive continuous improvement initiatives to enhance efficiency and employee satisfaction
  • Recommend innovative solutions for operational excellence and risk reduction
