Key Responsibilities
Facility Operations Management
- Oversee day-to-day facility operations ensuring smooth service delivery and operational stability
- Address real-time operational issues requiring guidance, approvals, and resolution
- Ensure adherence to organizational policies, procedures, and facility management standards
Vendor & Contract Management
- Manage vendor relationships to ensure compliance, service quality, and cost efficiency
- Conduct regular KPI reviews with suppliers and track performance metrics
- Oversee contract management for both internal and client-related services
- Ensure timely execution of vendor deliverables and invoice processing
Landlord & Stakeholder Coordination
- Liaise with landlords for issue resolution, facility-related coordination, and invoice management
- Collaborate with internal stakeholders including PMOs, Admin teams, and business units
- Conduct regular meetings with stakeholders to understand operational requirements
Financial & Inventory Management
- Forecast budgets and ensure financial performance within minimal variance
- Track and manage expenses, invoices, and inventory control
- Support cost optimization initiatives and identify savings opportunities
Compliance & Risk Management
- Ensure compliance with regulatory requirements and client standards
- Participate in emergency evacuation procedures, crisis management, and business continuity planning
- Identify and mitigate operational risks across facility operations
Client & Service Delivery
- Interact with client SPOCs for walkthroughs, service requests, and issue resolution
- Ensure high levels of client satisfaction through effective service delivery
- Support client-specific initiatives and operational improvements
Event & Administrative Management
- Plan, organize, and execute events for client and internal stakeholders
- Support general administrative activities as required
- Coordinate with teams to ensure seamless execution of workplace services
Team Leadership & Development
- Manage and supervise teams including housekeeping and mailroom staff
- Set performance targets, monitor progress, and provide coaching and mentoring
- Foster a collaborative work environment focused on service excellence
Process Improvement & Strategy
- Partner with SME teams to implement strategies, policies, and service improvements
- Drive continuous improvement initiatives to enhance efficiency and employee satisfaction
- Recommend innovative solutions for operational excellence and risk reduction
