Brief Job Description:

The Smartsheet Administrator will:

The Smartsheet Administrator is responsible for managing, configuring, and optimizing Smartsheet across the organization to support project management, reporting, and workflow automation. This role ensures platform stability, user adoption, and governance while enabling teams to leverage Smartsheet for operational efficiency.

Responsibilities and Measurement Criteria with Time investment Needed on Each:

  • Platform Administration
    • Manage user accounts, permissions, and access controls.
    • Configure workspaces, sheets, reports, and dashboards.
    • Maintain data integrity and enforce governance policies.
  • Process Optimization
    • Design and implement automated workflows, alerts, and approvals.
    • Develop templates and best practices for consistent usage.
    • Support integrations with other tools (e.g., Microsoft Teams, Jira, Salesforce).
  • Support & Training
    • Provide Tier 1/Tier 2 support for Smartsheet-related issues.
    • Conduct training sessions and create documentation for end-users.
    • Act as the primary liaison with Smartsheet support for escalations.
  • Reporting & Analytics
    • Build and maintain dashboards for leadership visibility.
    • Monitor usage metrics and adoption trends.
    • Ensure compliance with organizational and security standards

Qualifications:

Required/ Minimum Qualifications:

  • Proficiency with data analysis, data visualization and reporting tools
  • Skilled with Microsoft Office and specifically Microsoft Excel
  • Very good knowledge of modern database systems and the related best practices
  • 4+ years of experience administering Smartsheet or similar project management tools.
  • Strong understanding of Smartsheet features (formulas, automation, reports, dashboards).
  • Experience with user management and governance in SaaS platforms.
  • Excellent problem-solving and communication skills.
  • Consulting approach, ability on understanding internal customer needs
  • Ability to multitask and complete tasks in a timely manner
  • Ability to work independently with minimal direction including providing regular status on assigned activities
  • Excellent interpersonal skills with a demonstrated ability to work in a team-oriented and metric-intense environment
  • Familiarity with process design, design thinking, process re-engineering, lean and/or value stream mapping principles

Preferred Qualifications:

  • Smartsheet Product Certification.
  • Familiarity with API integrations and data connectors.
  • Experience in project management or PMO environments
  • Experience with DataMesh, Datashuttle, Dynamic View, and WorkApps

Basic Qualifications:

  • Bachelor's degree with preference for Information Systems or Computer Science as field of study
  • Strong business analysis, and communication skills with 4+ years of experience in a company of similar size, revenue, complexity and geographic diversity
