Job Description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The Role

A secondment/fixed term opportunity has become available for the role in the Administrator in GP Out of Hours (OOH) service. This post forms part of the admin support team and provides reception/administrative and supervising duties at the GP Walk in Centre (WiC) as required, working flexibly within agreed procedures and protocols.

As part of a new national network of centres, NHS Greater Glasgow and Clyde is due to open its first GP WiC in June 2026. The centre will complement local daytime General Practice and wider primary and community care services, and will have clear clinical pathways in place for opening.

Duration, Location, and Working Pattern:

  • Fixed term or secondment for 12 months
  • This is a 36 hours post.
  • The WiC will provide urgent clinical services to GGC population, Monday to Sunday and on Public Holidays 12-8pm.

Key Responsibilities

This post will deliver an efficient, high-quality, and comprehensive administrative, clerical, and receptionist service, acting as a key point of contact for patients, families, and multidisciplinary teams.

The post holder will have frequent contact with patients, members of the public and staff. At all times they are expected to act in a courteous and professional manner. The post holder will also support the generic functions and duties administered within the wider GP OOHs team as required.

Knowledge, training, qualifications and/or experience required to do the job:

  • Secretarial qualification or equivalent experience.
  • Evidence of supervisory or team support training, or equivalent experience in a lead/acting-up role.
  • Demonstrable experience in administrative, reception, or customer-facing roles.
  • Working knowledge of:
    • Patient flow and waiting room management.
    • Escalation pathways within an urgent care service.
    • The role of administration in supporting clinical safety.
  • Experience providing day-to-day supervision or support to staff, including:
    • Allocating tasks and coordinating workloads.
    • Acting as the first point of contact for queries.
    • Supporting induction, training, or buddying of new staff.
    • Managing minor performance or conduct issues and escalating appropriately.

From 1 April 2026, the Agenda for Change full-time working week will reduce from 37 hours to 36 hours. Part-time working hours will be reduced on a pro-rata basis. A corresponding increase in the hourly rate will apply, ensuring that overall pay remains unchanged.
