Administrative Support Specialist
We have an opportunity for an Administrative Support Specialist to join our COO Org in Bangalore, reporting to the Senior Manager COO Operations. In this pivotal role, you will enable seamless operations for leadership through exceptional administrative coordination, meticulous planning, and high-level stakeholder engagement. Collaborating closely with executive leaders, cross-functional teams, and global stakeholders, you will optimize schedules, streamline travel and event logistics, and ensure consistently smooth operational flow within the COO organization.
Be a Contributor What You'll Do
- Manage executive calendars, ensuring optimal scheduling and prioritization
- Coordinate meeting logistics, materials preparation, and follow-ups
- Arrange domestic and international travel, including flights, hotels, and visas
- Prepare detailed travel itineraries for executives and visiting guests
- Ensure seamless transportation coordination for executive movements
- Plan internal events, conferences, leadership meetings, and team-building activities
- Engage with vendors for event services, transport, and corporate gifting
- Drive fun team activities and offsites in alignment with company policy
- Support administrative operations including documentation, correspondence, and record-keeping
- Provide proactive reminders and task follow-ups to executives for daily priorities
Be Prepared What You Bring
- 810 years of experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong expertise in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Proven ability to manage multiple tasks, handle tight deadlines, and work in fast-paced environments
- Excellent communication, coordination, and interpersonal skills
- Experience in travel coordination and event management
- Bachelor's degree required
- Strong professionalism, discretion, and stakeholder management capabilities
