The Office Administrator is responsible for managing the daily administrative and operational activities of the coaching centre. This role ensures smooth coordination between students, parents, and faculty while maintaining efficient systems for admissions, scheduling, records, and communication. The administrator serves as the first point of contact and plays a key role in delivering a professional and organized experience.
Required for our South Kolkata as well as Chinar Park centres.
Admissions & Front Desk Management
- Handle walk-in and telephonic inquiries from students and parents.
- Provide accurate information about courses, schedules, and fee structures.
- Manage the end-to-end admission process, including form filling and documentation.
- Maintain a professional and welcoming front office environment.
Student Records & Documentation
- Maintain and update student databases (personal details, attendance, performance).
- Organize and manage physical and digital records efficiently.
- Ensure confidentiality and accuracy of all student-related information.
Scheduling & Coordination
- Prepare and manage class schedules in coordination with faculty.
- Coordinate batch timings, room allocation, and timetable changes.
- Assist in planning and scheduling tests, exams, and special sessions.
Fee Management & Accounts Support
- Collect fees and maintain records of payments (cash/online).
- Issue receipts and track pending dues.
- Coordinate with accounts/management for financial reporting and reconciliation.
Communication & Relationship Management
- Act as a liaison between students, parents, and faculty.
- Handle queries, concerns, and follow-ups in a timely manner.
- Communicate updates regarding classes, exams, and centre activities.
Operations & Administrative Support
- Ensure smooth day-to-day functioning of the centre.
- Manage office supplies, inventory, and basic infrastructure needs.
- Coordinate maintenance and vendor-related activities.
Reporting & MIS
- Prepare daily/weekly reports on admissions, attendance, and collections.
- Maintain MIS data for management review.
- Assist in tracking performance metrics and operational efficiency.

Qualification & Experience

- 13 years of experience in administration/front office (preferred).
- Experience in educational institutions/coaching centres is an added advantage.
