Job Description

Job Title: Administrative Executive

Job Location: Bangalore (On-Site Only)

Shift: Night Shift/US Shift

Experience Required:47 Years (Administrative / Facility / Operations Support)

Key Responsibilities

  • Own and manage end-to-end administrative operations during night shift
  • Act as the point of contact for night shift facility-related concerns
  • Handle shift-level escalations and resolve issues proactively
  • Manage and coordinate with vendors (housekeeping, security, maintenance, transport, etc.)
  • Lead Vendor Management activities including performance tracking, SLA adherence, and service quality monitoring
  • Ensure facility readiness and operational continuity throughout the shift
  • Oversee Facility Management operations including infrastructure upkeep and compliance standards
  • Coordinate and support ISO Audit processes including documentation, compliance tracking, and audit readiness
  • Support and facilitate Security Audits and ensure adherence to safety protocols
  • Manage Guest Management processes including visitor coordination, approvals, and access control compliance
  • Oversee Cab Management, ensuring safe transport coordination, vendor compliance, and adherence to safety policies
  • Coordinate and support internal Event Management activities conducted during night hours
  • Oversee inventory and office supplies management
  • Maintain proper documentation and reporting of incidents/issues
  • Ensure all compliance documentation is audit-ready and properly maintained
  • Coordinate effectively with cross-functional teams for operational alignment
  • Communicate effectively with internal stakeholders and leadership as required
  • Ensure compliance with company policies and operational standards

Requirements

  • 47 years of experience in Administrative / Facility / Operations Management
  • Experience handling night shift operations (preferred)
  • Experience in audit coordination (ISO/Security) preferred
  • Strong vendor management and coordination skills
  • Ability to manage escalations independently
  • Excellent stakeholder communication skills
  • Strong problem-solving and decision-making ability
  • Proficiency in MS Office (Excel, Word, PowerPoint)
  • High ownership mindset and ability to work with minimal supervision
