Job Title: Administrative Executive
Job Location: Bangalore (On-Site Only)
Shift: Night Shift/US Shift
Experience Required:47 Years (Administrative / Facility / Operations Support)
Key Responsibilities
- Own and manage end-to-end administrative operations during night shift
- Act as the point of contact for night shift facility-related concerns
- Handle shift-level escalations and resolve issues proactively
- Manage and coordinate with vendors (housekeeping, security, maintenance, transport, etc.)
- Lead Vendor Management activities including performance tracking, SLA adherence, and service quality monitoring
- Ensure facility readiness and operational continuity throughout the shift
- Oversee Facility Management operations including infrastructure upkeep and compliance standards
- Coordinate and support ISO Audit processes including documentation, compliance tracking, and audit readiness
- Support and facilitate Security Audits and ensure adherence to safety protocols
- Manage Guest Management processes including visitor coordination, approvals, and access control compliance
- Oversee Cab Management, ensuring safe transport coordination, vendor compliance, and adherence to safety policies
- Coordinate and support internal Event Management activities conducted during night hours
- Oversee inventory and office supplies management
- Maintain proper documentation and reporting of incidents/issues
- Ensure all compliance documentation is audit-ready and properly maintained
- Coordinate effectively with cross-functional teams for operational alignment
- Communicate effectively with internal stakeholders and leadership as required
- Ensure compliance with company policies and operational standards
Requirements
- 47 years of experience in Administrative / Facility / Operations Management
- Experience handling night shift operations (preferred)
- Experience in audit coordination (ISO/Security) preferred
- Strong vendor management and coordination skills
- Ability to manage escalations independently
- Excellent stakeholder communication skills
- Strong problem-solving and decision-making ability
- Proficiency in MS Office (Excel, Word, PowerPoint)
- High ownership mindset and ability to work with minimal supervision
