The GBS organization will partner
key business functions including Finance, Enterprise Solutions and Information Technology, Procurement, Supply Chain, HR, Marketing, Customer Development and Sales, and Sustainability. A
significant proportion of GBS roles will be based in one of our GBS hubs in Pune India, CEE and Mexico
Job Purpose
As a general assistant and admin secretary you will provide administrative, clerical, and coordination support to ensure smooth office operations. You will assist the Admin team and leadership with scheduling, documentation, communication, and facility-related tasks. Finally, you will act as a central coordination point for internal teams, visitors, vendors, and administrative activities.
Key Responsibilities
Administrative & Clerical Support
- Manage calendars, scheduling, meeting coordination, and appointments for the Admin team or designated leaders.
- Prepare letters, memos, reports, presentations, and routine documentation.
Office Coordination
- Coordinate with facilities, IT, security, housekeeping, and pantry teams for daily support needs.
- Maintain office supplies, stationery, inventory tracking, and vendor coordination.
Record & Document Management
- Maintain filing systems (physical & digital), employee movement logs, visitor registers, and admin records.
- Support data entry, documentation accuracy, and timely information updates.
Travel & Logistics
- Assist in booking travel, accommodation, transport, and other logistics for employees or visitors.
- Coordinate visitor passes, meeting room bookings, and hospitality.
Vendor & Service Coordination
- Liaise with external vendors for courier services, housekeeping, pantry, repairs, and maintenance work.
- Track service quality, escalate issues, and ensure timely completion of tasks.
Communication Support
- Serve as the first point of contact for admin queries, calls, emails, and walk-in requests.
- Share announcements, reminders, and notices to relevant teams.
Compliance & Safety Support
- Assist with maintaining compliance documentation (fire safety, access control, asset logs).
- Support emergency drill coordination and safety communication when needed.
What You Need To Succeed
Must have
- 37 years of experience as an administrative assistant, secretary, or office coordinator
- Strong communication (written & verbal) and interpersonal skills
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational skills, time management, and attention to detail
- Ability to multitask and manage confidential information
- Experience coordinating with internal teams and external vendors
Advantage
- Experience working in GCC, corporate, or large office environments
- Familiarity with travel management tools or visitor management systems
- Basic understanding of facility operations and workplace protocols
- Knowledge of document control and digital filing tools

Qualifications
