Overview

We are seeking a highly driven Admin Executive to lead office setup and administration initiatives, including identifying new office locations, onboarding vendors, and managing facility operations. The role will involve working closely with internal teams and external partners to ensure smooth execution of administrative processes, security arrangements, and workplace management.The ideal candidate should demonstrate strong ownership, problem-solving ability, and a hands-on approach to managing end-to-end admin and facility-related activities in a fast-paced environment.

Role and Responsibilities:

  • Identify and evaluate new office locations, and negotiate commercial terms with landlords
  • Coordinate with civil vendors for office setup, including construction of strong rooms and infrastructure readiness
  • Oversee day-to-day administrative operations across assigned branches to ensure smooth functioning
  • Manage vendor coordination for procurement, maintenance, and other administrative services
  • Support legal coordination for lease renewals, agreements, and documentation
  • Handle logistics operations, including courier management, consumables, and asset movement
  • Monitor branch-level expenses and ensure adherence to allocated budgets
  • Collaborate with cross-functional teams to address regional and operational requirements
  • Manage facility operations, including housekeeping, security, and utilities

Desired Skill Set:

  • Strong vendor management and negotiation skills.
  • Good understanding of facility and office administration.
  • Ability to manage multiple locations/branches simultaneously.
  • Strong coordination and stakeholder management skills.
  • Basic knowledge of commercial agreements and documentation.
  • Good budget tracking and expense management ability.
  • Proactive, detail-oriented, and problem-solving mindset

Persona:

  • 1-2 years of experience in administration / facility management
  • Experience in office setup, vendor management, and landlord coordination
  • Ability to manage multi-location / branch operations
  • Hands-on in facility management (housekeeping, security, utilities)
