About The Role

The Admin Assistant will support daily office operations, coordinate with internal teams, assist management, and ensure smooth functioning of administrative processes in a fast-paced IT environment. The role requires strong communication, coordination skills, and the ability to multitask while maintaining accuracy and professionalism.

Key Responsibilities

Office Administration

  • Manage front-desk operations, reception duties, visitor management.
  • Handle incoming calls, emails, couriers, and maintain office communication channels.
  • Maintain office supplies, IT consumables (toners, stationery), and equipment inventory.
  • Coordinate with housekeeping, security, and facility teams to ensure a well-maintained workplace.

Vendor & Facility Coordination

  • Liaise with vendors for office maintenance, IT equipment servicing, AMC management, and logistics.
  • Assist procurement team in obtaining quotations, preparing purchase requests, and vendor follow-up.
  • Track service contracts, renewals, licenses, and facility-related compliance.

Documentation & Reporting

  • Maintain filing systems (physical and digital) for agreements, invoices, purchase orders, and administrative documents.
  • Prepare MIS reports for admin costs, vendor payments, office assets, consumption, etc.
  • Process bills, vendor invoices, and coordinate with accounts for timely payments.

General Office Coordination

  • Schedule and manage meeting rooms, appointments, and calendars.
  • Support management and department heads in administrative tasks.
  • Handle ad-hoc tasks such as courier dispatch, printing/scanning, petty cash management, etc.

Requirements

Key Skills Required

  • Strong communication (English & Hindi/local language).
  • Good knowledge of MS Office (Excel, Word, PowerPoint).
  • Ability to multitask and prioritize work.
  • Good interpersonal and coordination skills.
  • Basic understanding of IT hardware administration (added advantage).
  • Time management and organizational skills.

Qualification

  • Graduate in any stream (B.Com, BBA, BA, BSc preferred).
  • Certification in office administration or HR support is an advantage.
