Job Description

Position Summary:

Empowering the team, the Admin Executive is a cool-headed problem-solver often switching between different tasks fluidly. This role effectively communicates with all levels of the organization and customers through all mediums and multi-platforms. The Admin Executive thrives in an office environment as they perform administrative duties and provide support to leaders. They are also a hands-on force with events and promotional efforts. This is a dynamic role in demonstrating flexibility and confidentiality. Support for this role may come from the Operations Director/Manager, National Director, or Head of Marketing and Communications, depending on the team's size and setup.

Roles and Responsibilities:

Administrative & Operational Support

  • Provide highquality administrative support to assigned leadership and crossfunctional teams, ensuring smooth daytoday operations.
  • Manage calendars, scheduling, correspondence, and document preparation, including letters, memos, reports, and presentations.
  • Coordinate travel, accommodations, meeting logistics, and related clerical tasks as assigned.
  • Maintain organized systems for files, records, and operational documentation to support team efficiency and compliance.

Member, Director & Ambassador Support

  • Support Members, Directors, and Ambassadors, offering timely assistance and clear communication in BNI Connect and other tools.
  • Troubleshoot technical issues related toBNI Connectand other networking tools, escalating complex issues when needed.
  • Support routine inquiries with professionalism, accuracy, and a serviceoriented mindset.

Communications, Marketing & Promotional Support

  • Draft and distribute local communications, including announcements, reminders, meeting updates, and event information.
  • Assist with basic marketing and promotional activities for events, trainings, and meetings at the local, regional, or national levels.
  • Maintain accuracy and consistency of messaging across channels, ensuring alignment with brand standards.
  • Support the creation or coordination of simple promotional materials, templates, and content as needed.

Events, Trainings & Member Engagement

  • Organize or support memberfacing events, chapter activities, Director development sessions, and training programs.
  • Coordinate logistics such as venue arrangements, materials, registration, communications, and onsite support.
  • Partner with leadership to ensure events and trainings run smoothly and reflect organizational expectations.

Data, Systems & Process Support

  • Maintain data accuracy across operational systems, including BNI Connect and other internal tools.
  • Track timelines, deliverables, and followups for assigned projects or initiatives.
  • Observe and document operational workflows toidentifyinefficiencies or gaps.

Continuous Improvement & Collaboration

  • Contribute to process improvement efforts by surfacing insights, recommending enhancements, and implementing approved changes.
  • Participate in crossfunctional projects, providing administrative and operational support to advance strategic initiatives.
  • Any additional duties needed to help demonstrate our core values, drive our vision, and fulfill our mission.

Required Qualifications:

  • Business-level English Proficiency
  • Two-year degree or Equivalent Experience
  • One or more years of experience in an administrative role supporting senior leadership
  • Stellar interpersonal and communication skills
  • Ability to build relationships with key stakeholders
  • Detail-oriented withgood timemanagement skills
  • Ability to prioritize work in a fast-paced,quickly changing environment
  • Takes initiative, anticipates needs, and exercises independent/sound judgment.

  • Basic to Intermediate Microsoft Office Suite e.g. Excel, Word, PowerPoint, Outlook
