Job Description

JOB DESCRIPTION

Position : Accounts & Admin Executive

Department : Finance Department

Reports to : Finance

Job Summary

Accounting & Finance, Administrative Support

Responsibilities - Accounting & Finance

  • Manage and track project stage claims, ensuring timely billing and follow-up
  • Prepare project invoices to clients and RTOs
  • Monitor accounts receivables and follow up on outstanding payments
  • Prepare monthly accounting reports for management
  • Process supplier invoices, staff claims, transport claims, and medical claims accurately and promptly
  • Maintain the full set of bookkeeping records and ensure proper filing of financial documents
  • Maintain and update the Accounts SOP Handbook to ensure accounting processes are properly documented, continuously improved and in line with the company's standards and practices
  • Perform month-end and year-end closing activities
  • Perform monthly bank reconciliations
  • Liaise with external auditors, tax agents, banks, and government agencies as required
  • Prepare management reports and financial summaries
  • Maintain accurate accounting records and ensure compliance with company policies and statutory requirements
  • Identify operational issues and recommend improvements to accounting and administrative processes
  • Handle general administrative and clerical tasks to support daily office operations
  • Any other administrative tasks as assigned by manager

Job Specifications

Diploma or Degree in Accounting, Finance, Business Administration, or a related field

Minimum 1-2 years of relevant accounting and administrative experience

Proficient in Microsoft Office (Excel, Word, PowerPoint)

Experience with accounting software is an advantage

Good understanding of bookkeeping principles and bank reconciliation

Strong numerical accuracy and attention to detail

Excellent organisational and time management skills

Good written and verbal communication skills

Ability to handle multiple priorities and meet deadlines

Positive attitude with a willingness to learn

Team player with good interpersonal skills
