Job Description

Job Title: School Accountant

Reports to: Principal / School Administrator / Finance Manager

Job Purpose

To manage the financial activities of the school by maintaining accurate financial records, preparing reports, ensuring compliance with accounting standards, and supporting the administration in effective budgetary planning and control.

Key Responsibilities

Financial Management & Accounting

  • Maintain accurate books of accounts (cash book, ledgers, journals, etc.).
  • Record daily financial transactions and reconcile bank statements.
  • Manage accounts payable (vendor bills, staff reimbursements) and accounts receivable (student fees, grants, donations).
  • Monitor and reconcile fee collections with student records.
  • Ensure timely deposits of school fees and other revenues.

Budgeting & Reporting

  • Assist in preparing the annual school budget in consultation with management.
  • Monitor budget utilization and provide variance analysis reports.
  • Prepare monthly, quarterly, and annual financial statements.
  • Present financial updates to the school management/board.

Compliance & Audit

  • Ensure compliance with statutory requirements (Income Tax, GST, PF, ESI, etc., as applicable).
  • Support internal and external audits with necessary documentation.
  • Maintain confidentiality and integrity in handling financial information.

Administrative & Support

  • Coordinate with banks, vendors, and auditors for financial matters.
  • Maintain inventory and fixed asset registers.
  • Assist the principal/administration in financial decision-making.
  • Support fundraising activities, grants, and sponsorship tracking.

Qualifications & Skills

  • Bachelor's degree in Commerce/Accounting/Finance (Master's preferred).
  • Minimum 23 years of accounting experience, preferably in an educational institution.
  • Knowledge of accounting software (Tally, QuickBooks, or ERP systems).
  • Strong knowledge of MS Excel and financial reporting.
  • Familiarity with school fee structures and statutory compliance in education.
  • High integrity, accuracy, and attention to detail.
  • Strong organizational and communication skills.
