Job Description

ACCOUNTS OFFICER

Role Purpose

The Accounts Officer will be responsible for supporting the Finance & Accounts function through accurate accounting, timely processing of financial transactions, statutory and regulatory compliance, and systematic maintenance of financial records. The role ensures financial discipline, transparency, and compliance with institutional policies, applicable laws, and regulatory frameworks.

Key Responsibilities

1. Accounting & Financial Operations

  • Maintain accurate books of accounts including vouchers, journals, ledgers, and supporting documentation
  • Record and process accounting transactions related to expenses, receipts, reimbursements, advances, accruals, and provisions
  • Assist in month-end, quarter-end, and year-end closing activities
  • Support preparation of financial statements, schedules, and management reports
  • Ensure accuracy, completeness, and timeliness of accounting records

2. Payments, Receivables & Reconciliations

  • Process vendor payments, employee reimbursements, honorarium, and other institutional payments within defined timelines
  • Track and monitor receivables including student fees, programme revenues, grants, sponsorships, and other income streams
  • Perform regular bank reconciliations, cash book reconciliations, and verification of control accounts
  • Follow up on pending payments and outstanding receivables in coordination with internal stakeholders

3. Statutory Compliance & Regulatory Support

  • Assist in statutory compliances including GST, TDS, PF, ESI, and other applicable laws
  • Support preparation, verification, and filing of statutory returns within prescribed timelines
  • Maintain statutory registers, challans, returns, and compliance documentation
  • Support compliance requirements related to trusts, educational institutions, and regulatory bodies

4. Budgeting, Financial Controls & Policy Adherence

  • Assist in monitoring approved budgets and tracking actuals against budgeted figures
  • Identify variances and support analysis for management review
  • Ensure adherence to institutional financial policies, SOPs, approval matrices, and internal controls
  • Support cost optimisation and financial discipline initiatives

5. Audit, Reporting & Documentation

  • Prepare audit schedules, confirmations, reconciliations, and supporting documents for internal, statutory, and external audits
  • Coordinate with auditors and respond to audit queries and observations
  • Assist in closure of audit findings and implementation of corrective actions
  • Maintain proper filing, documentation, and archival of financial records as per record-retention policies and procedures

6. Systems, ERP & Process Improvement

  • Operate accounting software / ERP systems ensuring data accuracy and consistency
  • Support finance-related system enhancements, digitisation, and automation initiatives
  • Ensure compliance with system-based controls and workflows
  • Coordinate with academic, administration, HR, procurement, and programme teams on finance-related processes

Qualifications & Experience

  • Bachelor's degree in commerce / accounting / finance (B.Com mandatory)
  • CA (Inter) / M.Com / MBA (Finance) – preferred
  • 1 to 3 years of relevant experience in accounting or finance roles
  • Experience working in an educational institution or university will be considered an added advantage

Skills & Competencies

  • Strong knowledge of accounting principles and financial procedures
  • Working knowledge of GST and TDS compliances
  • Proficiency in MS Excel and accounting / ERP systems
  • High level of accuracy, attention to detail, and documentation skills
  • Effective coordination and communication skills
  • Ability to manage multiple tasks, meet deadlines, and work collaboratively
  • High standards of integrity, confidentiality, and compliance orientation
