We are seeking a detail-oriented and proactive Academic Operations Executive to manage and optimize our academic operations, ensuring a seamless and high-quality learning experience for both in-class and online students.
Role Overview:
As an Academic Operations Executive, you will oversee and monitor day-to-day academic operations, conduct quality checks, and ensure all training sessions meet the highest standards of excellence. You will contribute to creating an exceptional learning environment by focusing on operational efficiency, session quality, and data-backed improvements.
Key Responsibilities:
Session Monitoring & Financial Oversight:
- Oversee and monitor live training sessions (both classroom and online) to ensure they run smoothly and cost-effectively.
- Perform pre-session checks, including mic, video, and audio setup, to prevent technical disruptions and minimize resource wastage.
- Track trainer attendance, punctuality, and session adherence to schedules, ensuring optimal utilization of trainer resources.
- Monitor and log the start time and end time of lectures to ensure quality assurance and support operational budgeting and forecasting.
Quality Assurance & Cost Analysis:
- Conduct quality checks of training sessions to ensure the highest delivery standards while maintaining cost efficiency.
- Identify and report any operational or technical issues during sessions, assessing their potential financial impact.
- Ensure course content, teaching aids, and resources are effectively utilized during sessions to maximize ROI.
Student Feedback & Experience Analytics:
- Collect and analyze feedback from students to assess their learning experience and correlate it with operational spending.
- Proactively address any issues raised by students to improve their overall satisfaction while considering budget implications.
- Work closely with the student support team to ensure any operational gaps affecting students are resolved cost-effectively.
Trainer Coordination & Resource Budgeting:
- Collect feedback from trainers to identify areas for operational improvement and resource allocation optimization.
- Ensure trainers have all the necessary resources and support to deliver effective sessions within budget constraints.
Operational Monitoring & Financial Tracking:
- Regularly review and update operational processes to enhance efficiency and reduce unnecessary expenditures.
- Maintain detailed records of academic sessions, feedback, and operational tasks for financial reporting and audit purposes.
- Collaborate with the academic team to ensure seamless delivery of programs while monitoring operational costs.
Technical Oversight & Cost-Benefit Analysis:
- Monitor the performance of digital tools and platforms used for online sessions, evaluating their cost-effectiveness.
- Ensure all learning technologies are functioning optimally before and during sessions to avoid costly disruptions.
- Coordinate with the technical team to resolve any technical disruptions while minimizing financial impact.
Continuous Improvement & Financial Optimization:
- Propose and implement ideas to improve academic operations and student learning experiences with a focus on cost savings and value creation.
- Stay updated on the latest tools and techniques to enhance operational effectiveness in academics while evaluating their financial feasibility.
Qualifications & Skills:
- Education:Bachelor's degree infinance, accounting, business administration, economics, or a related quantitative field. A master's degree or professional certification (e.g., CMA, CFA) is a plus.
- Experience:12 years of experience inoperations, financial analysis, auditing, or a process-driven role, preferably in an EdTech, training, or service-oriented organization.
- Skills:
- Strong analytical and numerical aptitude with experience in data tracking and reporting.
- Proficiency in using digital tools like Zoom, Microsoft Teams, or other LMS platforms.
- Excellent organizational, multitasking, and problem-solving abilities.
- Attention to detail and a proactive approach to improving processes.
- Basic understanding of budgeting, cost analysis, or operational finance is preferred.
- Ability to communicate clearly and collaborate effectively with trainers, students, and cross-functional teams.
