Job Description

Designation: Primary Co-ordinator

Department: Academics

Reporting To: Vice Principal

Primary Responsibility: Academic Operations

  • Coordinate implementation of curriculum, teaching aids, and academic materials provided by the Central Office
  • Maintain updated records of curriculum versions, circulars, and instructions shared by the Principal
  • Ensure lesson plans, unit plans, and theme plans are shared with teachers and followed effectively
  • Monitor teacher preparedness and classroom readiness on a daily basis
  • Provide regular academic feedback to the Central Office at the end of lesson/unit/theme plans
  • Plan and submit field trip proposals at the beginning of the academic year for approval
  • Plan and monitor curriculum delivery as per the Academic Calendar
  • Conduct curriculum workshops, including support programmes and special education discussions
  • Observe classes regularly and provide timely, constructive feedback to teachers
  • Ensure uniformity in lesson plan implementation across sections
  • Draft and review academic circulars and newsletters
  • Track academic coverage and effectiveness of support programmes
  • Monitor and maintain records of remedial and support programmes
  • Collect and validate information on identified students requiring support
  • Investigate and verify cases before approving or disapproving referrals
  • Forward approved referrals to the Special Educator for further action
  • Conduct parent meetings jointly with the Special Educator and update Centre Head
  • Monitor student progress and share updates with parents periodically
  • Ensure student attendance in all remedial sessions
  • Collect weekly progress reports from the Special Educator and maintain records
  • Implement and monitor the Children's Library Programme as per Central Office guidelines
  • Plan, organize, and coordinate school events such as:
  • Parent Orientation
  • PTA & PTM
  • Field Trips
  • Sports Day
  • Annual Concert
  • Special Events, Competitions & Culminating Activities
  • Delegate responsibilities to teaching and non-teaching staff for events
  • Arrange proxy teachers when required
  • Maintain event records and submit feedback reports to the Principal
  • Maintain grade-wise records of extracurricular activities
  • Ensure error-free charts and displays on soft boards
  • Ensure only parents participate in prize distribution during Sports Day
  • Support public relations activities and special events of the school

Secondary Responsibility: Administrative Operations

  • Maintain and monitor academic and administrative records
  • Be familiar with teacher duties, roles, and disciplinary procedures
  • Attend all meetings convened by the Principal unless prior approval is taken
  • Adhere to reporting timings as per HR policy (before opening and after closing)
  • Follow and implement all school policies and updates
  • Conduct monthly inventory checks of teaching aids, lab equipment, and materials
  • Route all teacher requisitions to stores through the Coordinator
  • Promote effective and optimal usage of teaching resources
  • Ensure timely distribution of textbooks and notebooks to students
  • Coordinate with Admissions to get advance information on new student joinings
  • Liaise with Admin and Maintenance teams to resolve infrastructure issues
  • Ensure maintenance entries are updated in the Maintenance Register
  • Maintain discipline among students and staff
  • Conduct random checks on attendance, academic records, and ERP entries
  • Update teachers on ERP codes and processes
  • Coordinate and attend parent meetings, appointments, and PTMs
  • Keep parents informed about student progress, health issues, and incidents
  • Ensure surprise checks and audits are conducted as required
  • Clarify roles of Main Teacher, Co-Teacher, Floating Teacher, and Subject Teacher
  • Conduct teacher induction programmes (beginning of year & mid-term joiners)
  • Conduct refresher trainings on record maintenance and school documentation
