HIRING: License & Documentation Administrator – Passenger Cruise Operations

Are you experienced in maritime crew documentation, seafarer licensing, marine HR, or cruise crew administration

We're looking for a highly organised License & Documentation Administrator to manage licensing, certifications, compliance records and onboarding documentation for passenger cruise crew.

What You'll Be Doing

• Manage crew licences, certificates, passports, visas and medical documents

• Collect, review and verify documentation required for crew onboarding and deployment

• Track expiry dates for STCW certificates, seafarer documents, licences, visas and medical certifications

• Coordinate timely renewals of expiring documents

• Support visa, immigration and work permit requirements

• Ensure crew documentation meets vessel, company, flag-state and regulatory requirements

• Follow up on missing, incomplete, incorrect or expired documents

• Coordinate with crew, HR, recruitment, crewing, marine operations and immigration teams

• Support pre-joining documentation and ensure crew are documentation-ready before embarkation

• Maintain accurate crew files, databases, trackers and compliance records

• Prepare documentation, expiry and onboarding reports

• Support audits and documentation checks

• Handle confidential crew and employment information securely

Required Skills

Experience in maritime documentation, crew administration, marine HR, compliance or a similar field

Understanding of seafarer licences and maritime certificates

Experience managing high volumes of employee/crew documentation

Strong MS Excel, Word & Outlook skills

Excellent document control and record-keeping abilities

Strong attention to detail and accuracy

Excellent follow-up and coordination skills

Ability to manage multiple deadlines independently

Strong confidentiality and data-handling practices

Comfortable working in a fast-paced, deadline-driven environment

Ideal Candidate

The ideal candidate will have hands-on experience managing passenger cruise crew documentation and be comfortable tracking licences, certificates, visas and medical documents while ensuring all requirements are completed before vessel deployment.
