Job Description

We are looking for a detail-oriented Event Manager to manage the operational aspects of Japan education–related events and student programs in Noida. The role will focus on end-to-end event execution, stakeholder coordination, and on-ground management to ensure seamless experiences.

Key Responsibilities

Event Operations

Assist with event registration and participant coordination.
Support student activities and cultural sessions.
Ensure smooth overall event execution and troubleshoot operational issues during the program.

Outreach & Travel

Visit universities, schools, and partner institutions for event outreach and collaboration.
Be open to travel for event planning, promotions, and on-ground execution.

VIP & Dean Coordination

Manage invitations and communication with VIPs, deans, and institutional representatives.
Coordinate their travel, accommodation, and on-ground hospitality.
Ensure proper reception, protocol, and seating arrangements during the event.
Act as the point of contact for all VIP requirements and ensure a seamless experience.

Booth Management

Oversee setup and arrangement of exhibitor booths for participating institutions and partners.
Ensure each booth has required branding materials, tables, power supply, and information materials.
Assist exhibitors with setup, visitor engagement flow, and booth operations during the event.

Venue Management

Identify and select suitable venues based on event requirements, capacity, and budget.
Evaluate venues based on location, accessibility, facilities, and technical specifications.
Coordinate venue layout, seating arrangements, and event space setup.
Manage registration desk, signage placement, and attendee movement within the venue.
Work with venue staff to ensure AV systems, lighting, and logistics are functioning properly.

Sponsor & Partner Coordination

Manage sponsor relationships and ensure branding placements, banners, and promotional materials are correctly displayed.
Coordinate with sponsors for deliverables, visibility, and on-ground execution.
Support partners during the event for seamless experience and engagement.

Volunteer Management

Recruit, brief, and manage event volunteers.
Assign roles and ensure smooth coordination during the event.

Team Coordination

Coordinate closely with the Social Media Team for event coverage, promotions, and live updates.
Work with the Counselling Team to ensure smooth student interaction and guidance during events.

Stage Management

Manage the event stage schedule, including speaker sessions, presentations, and performances.
Coordinate with speakers and presenters for timely stage transitions and technical requirements (microphones, presentations, AV setup).
Ensure smooth program flow according to the event agenda.

Requirements

MBA in Marketing (Mandatory)
Based in Noida
2–4 years of experience in event management, exhibitions, conferences, or education fairs (Freshers can also apply)
Strong exposure to sponsor and partner management
Excellent communication skills (written and verbal)
Ability to handle event logistics and on-ground coordination
Strong problem-solving and multitasking abilities
Ability to manage multiple operational tasks during live events
